The Office & Tour Administrator will be solely responsible for the organization of activities both in the office and abroad. This individual is the voice and front-line of all office activities and must deal with the pressures of a fast-paced office and a team that travels globally.
The candidate ensures that all office, and overseas procedures, work in concert. With keen insight and global awareness, this independent working individual maintains all office details, records and equipment.
Process tour applications
Enter and issue invoices; monitor incoming payments and prepare weekly payment reports
Coordinate all hotel activity for tours. This includes requesting proposals, organizing sleeping rooms and meeting spaces, managing contracts, and sending rooming lists
Make payments to hotels and other tour providers
Act as point person for travel agent to coordinate ticketing for group flights
Manage Linden’s listservs: set up initial tour listservs, monitor membership, add or delete participants as needed
Track and order all tour related merchandise
Organize and prepare boxes with tour materials for shipment
Assist tour leaders in pre-tour duties as needed
First line of communication with new and existing clients; in person, on the phone, or by email.
Answer general inquiries on the phone or by email
Maintains a safe and clean office
Maintain tour, events, and office calendars
Experience with office software, including email, spreadsheets, Microsoft Office and databases
Manage online filing systems
Keep track of office supplies and order replacements when necessary
Keep track of office billing payments, both incoming and outgoing
Liaise with IT specialists to resolve problems, troubleshoot computer problems, organize repairs/upgrades with office equipment
Handle all logistics for Linden meetings and events
General office duties as assigned

Strong oral and written communication with excellent customer service skills
Tech savvy and skilled with Microsoft Office and Mac OS

Ability to multi-task

Must be able to travel nationally and internationally when needed
Experience in the education industry, specifically in higher education or similar institutions
Experience as a travel agent
International experience is a plus
