Reporting to the Director of Exchange and Study Away, this position is responsible for managing and coordinating several functions including advising a diverse student population, outreach and marketing, managing office digital infrastructure and database, orientation, visa support, data collection and reporting. This position will contribute to the growth and development of the advising team and services offered to students and will train and mentor less experienced advisors. This position will also assist in program planning and management from development phases to assessment, with a particular focus on marketing and recruitment, application processing, and addressing student issues pre-departure and while students are away.



  • Bachelor’s degree from and accredited college or university or equivalent combination of education and experience Three or more years of of professional experience in international programs or a related field including advising, recruitment, and marketing Demonstrated skill in understanding student needs and connecting them with appropriate resources and/or opportunities Proficient at designing and implementing programs/workshops and resources Experience developing and implementing a marketing plan Excellent computer skills: Microsoft Office suite, Adobe Office and Creative suites and associated professional software Experience using and maintaining database software such as TerraDotta Excellent interpersonal written and oral communication skills, including strong public speaking and presentations skills Demonstrated ability to prioritize and perform multiple projects/tasks, meet deadlines, respond to others in a timely manner, and work both independently and as a collaborative member of ArtCenter with a high standard of integrity and ethics, in support of institutional goals A commitment to DEIAB and culture, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities Ability to handle confidential information with tact and discretion and recognize the confidential nature of ArtCenter business Strong digital infrastructure skills using online and cloud-connect tools. Examples include video conferencing and communication (Zoom, Microsoft Teams, Slack), file management (Google Drive, Dropbox, One Drive), scheduling (Acuity and Doodle), badging (Credly), and website management (Squarespace) platforms Willingness to periodically travel domestically and abroad

Preferred Qualifications

  • Master’s degree from and accredited college or university Experience studying, living, working, and/or traveling abroad Experience in art and design education Experience creating and managing website content, SquareSpace knowledge preferred Proficiency with social media and digital marketing

Essential Functions

Advising and Programming — 45%

  • Provide knowledgeable and inclusive advising and support to students during scheduled meetings and drop-ins, on the study away application process and during pre-departure, program, and returnee phases Advise students on transfer credits, international travel planning and safety, visa considerations, cultural awareness and intercultural communication skill building, health and wellness, finances, and networking opportunities Advise students on financial aid as it relates to study away, including the Diversity and Access Travel Stipend Award, the ArtCenter Berlin Scholarship, and external scholarships Coordinate and lead information sessions, assist with pre-departure orientations and re-entry meetings Create and maintain advising resources on ArtCenter and partner policies and procedures Develop strong relationships with department chairs, department leaders and faculty in the college Conduct regular outreach efforts including workshops and presentations to classes, student clubs and organizations with the goal of increasing student engagement in program offerings Advise inbound exchange students and coordinates with sending institutions and other campus offices Serve as primary liaison to sending institutions for the nomination of their exchange students

Communications — 25%

  • Maintain communications with partner institutions, external program providers, and vendors Be accountable for establishing effective connections with diverse populations and groups of students Oversee management of ESA email inbox and respond in a timely manner to all inquiries Assist in editing the ESA Handbook for students and the ESA training manual Manage departmental social media accounts Write, edit, and manage content for the ESA website (Squarespace) Oversee ESA social media channels and develop and implement a strategy for managing them Implement student outreach and engagement practices across multiple campus locations, develop recruitment strategies and marketing materials for all program types through email announcements, posters, electronic signage, presentations, and events Assess effectiveness of marketing materials and resources and make modifications as appropriate

Program Management and Operations — 25%

  • Assist in the training and supervision of student workers Provide leadership and guidance to other advising staff as needed Manage TerraDotta (TD) application system and serve as primary contact and problem solver Ensure consistency in language and content across TD and the website program pages and provide supporting data and reports to all stakeholders Manage study away, exchange student, and scholarship application processes, in consultation and coordination with others in Exchange and Study Away Deploy and collect student program evaluations and faculty reports and assist in administering other campus wide surveys and reports Create and collect study away program and Diversity and Access Travel Stipend Award assets for the department website and promotions Manage exchange student applications, facilitate approval process with departments, registration in ArtCenter courses, and other systems Partner with Enrollment Services to ensure timely issuance of transcripts to sending institutions Processes all transcripts for students returning from exchange or individualized programs Maintain departmental files, reports, and databases

Non-Essential Duties — 5%

  • Maintain memberships and active involvement in applicable professional organizations Serve on educational or institutional internal committees as needed Assist with events by drafting announcements, arranging catering, room scheduling, requesting AV, and putting together materials Other duties as assigned

This is a full-time position. Normal business hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. The position is eligible for flexible scheduling and can be performed hybrid or alternate schedule to meet the demands of the work, which could include weekends or evenings or may be required as a condition of employment. 


Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to pandemic, will work from home as needed.

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard. Ability to travel between campuses and to offsite locations. Regular and consistent attendance are required for most positions.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
