Program Coordinator for Student Services and Academics

The Program Coordinator will advance a culture of hospitality and hospitable learning environment through the support of academic processes and services for all students at Duke Divinity School. This program coordinator will serve as our ADA liaison and facilitates DDS efforts to support students with ADA Accommodations. This role also operationalizes academic functions, including maintaining various academic records and systems and managing other programs, services, and events of the office of Academic Programs focusing on residential degree programs.

This role includes involvement in many digital systems including, but not limited to, People Soft (student information systems), Sakai (learning management system), Anthology (portfolio program), Stellic (degree audit software), Evaluation Kit (course evaluations), and Qualtrics (survey tool). The Program Coordinator will seek synergy between systems and backend processes and with forward-facing message delivery via advisement and marketing strategy with all stakeholders.

The selected candidate should possess a high level of confidentiality, organizational skills, attention to detail, ability to multitask, as well as handle interruptions with grace. The Program Coordinator should possess strong interpersonal and communication skills-both verbal and written, who can build relationships with partners and stakeholders with integrity and ease. Experience in academic departments a plus.

The Program Coordinator will report to the Assistant Registrar under the leadership of the Senior Director of Academics and Registrar.

Occupational Summary

Responsible for student services and academic functions, including direct advising and support of academic processes such as course registration, curricular certificate programs, portfolio, degree completion/graduation, and other functions of the office of Academic Programs; supports students with ADA accommodations.

Work Performed

Serves as DDS Liaison and main contact with Student Disability Access Office (50%)

Contribute to the development of a culture of accessibility, leading trainings and learning opportunities for all, focusing on faculty and instructional support folks

Meets with students upon the approval of their accommodations for understanding and expectation setting; in partnership with others, provide students with ADA letters each term and manage exam proctoring

Supports programming and initiatives of the Center for Writing and Academic Support, including RISE planning and Sakai upkeep.

Lead efforts to facilitates course material preparation for ADA compliance

Source and participate in committees that advance student success, including Student Support Team and Academic Policies Committee

Manage academic processes and systems (50%)

Manage all degree-based certificates, including Bulletin, catalog, websites, declaration process, and tracking in Stellic

With direction from the Assistant Registrar, manage workflow of communications from Academics to all students about upcoming deadlines, and milestones for academic processes; manages student traffic, including Academics email account

Contribute to web presence and communication strategy of office of Academic Programs, updating materials and announcements regarding residential degree programs, registration forms, academic paradigms, etc.

In consultation with the Assistant Registrar, participate in each term's course registration process: build and revise course schedules in CLSS system; prepare and distribute Course of Instruction and daily Academic Calendar; track incomplete grade agreements and follow-up with faculty and students.

Manages portfolio process for all degree programs via Anthology

Support Divinity Baccalaureate, graduation, and student awards

Plan academic events, including Premiere Day, Certificate Days, RISE (with Judith), Student Awards, and be the main contributor to school and university Commencement planning and programs

Support upkeep of Stellic under direction of Assistant Registrar

Facilitate instructional support assignments in consultation with Assistant Registrar

Manages Pathways students

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
