DESCRIPTION

DEPARTMENT OVERVIEW:

The Computer Science and Engineering (CSE) department embodies the university's tradition of excellence as a world-class leader in computer science and engineering education and research. Ranked in the top 20 nationwide, the department is dedicated to research, education and overall excellence.

CSE has approximately 73+ faculty FTE, 20+ professional researchers, 45+ staff in career/casual titles, 300+ tutors, and 135+ TAs. There are over 1,900 undergraduate students enrolled in 3 majors, with annual enrollments of 25,000+. The department has a graduate education program with over 900 students (~300 PhD students and over 600 Master's students).

POSITION OVERVIEW:

Under general supervision by the PhD Program Manager/Assistant Director of Student Affairs, the TA and PhD Admissions Coordinator is responsible for quarterly graduate course enrollment and wait-list management, coordination of Teaching Assistant (TA) assignments, and coordination of events. The incumbent advises current and prospective PhD students, faculty staff and the general public about admissions, enrollment, and the Teaching Assistant program. The TA and PhD Admissions Coordinator coordinates graduate recruitment and retention activities, as well as PhD orientation and events. The incumbent provides work direction to student assistants.

QUALIFICATIONS

  • Understanding of higher education goals, structure and functions. Experience in a higher education environment and/or familiarity with university administrative and/or academic organizations and operations.
  • Know edge of advising and counseling techniques. Proven ability to effectively listen, advise and counsel students on admissions, program and degree offerings, curricular requirements, and policies and procedures.
  • Interpersonal skills. Excellent interpersonal and customer service skills (poise, listening, tact, diplomacy, patience, discretion, assertiveness) to effectively interact with students, staff, faculty and public in-person, by telephone, and via e-mail.
  • Ability to multi-task; verbal and written communication skills. Ability to balance multiple, often conflicting, priorities with deadline constraints and numerous interruptions. Ability to successfully follow multiple tasks through to completion.
  • Excellent written and oral communication skills. Skill to compose, edit and proofread correspondence, informational materials, web content, and reports. Skill to express verbally one's position, plan of action, evaluation or interpretation in a professional, concise, and courteous manner.
  • Knowledge of University processes and procedures. Understanding of University rules and regulations.
  • Skills in service orientation, organization, active listening, and critical thinking.
  • Ability in problem identification and reasoning. Ability to utilize independent decision-making skills. Effective problem-solving skills; ability to identify complex situations and recommend solutions. Ability to work with minimal direction and negotiate conflicts.
  • Demonstrated ability to exercise independent initiative and sound judgment within general guidelines, with the acumen and sensitivity to identify those decisions and activities which require higher level approval, consultation, and/or group collaboration.
  • Knowledge of University-specific computer application programs and pertinent databases. Proficiency working in a highly computerized environment using word processing and spreadsheet software applications, shared calendars, web browsers, and database management systems. Demonstrated ability and willingness to increase and update knowledge and skills as needed to meet the direction of the organization.
  • Demonstrated record management experience. Proven skill in developing and maintaining accurate, organized records, files and filing systems.
