SUMMARY Coordinate and participate in admissions programs for the law school by performing the following duties personally, through or in conjunction with other admissions office staff members.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Operate the Admissions Office’s systems environment, including ACES2 and UNITE to process applications and communicate with applicants. Managing ACES2 would also include the Admissions Committee’s online review process, monitoring distribution and reconciliation of files after review, and the processing of final decisions. Additionally would be the processing of scholarships and all functions associated with ACES, Banner, Axiom, Argos, and Stanley.

Oversee event registration and shipping of materials for recruitment events.

Assists in communicating with prospective students, applicants, and other interested parties on STCL’s academic offerings, the application process, and an understanding of financial aid and scholarships.

Coordinate CARE Team applicant review and follow-up with Admissions Committee to provide CARE Team feedback. Track CARE Team and Admissions Committee feedback using Maxient or other case management tracking software.

Work closely with the Student Services and Accounting Services teams to assist admitted students with the registration and financial aid process to ensure a smooth transition from a deposited student to enrollment.

Assist with recruiting, training, and supervising Student Ambassadors and Seasonal Recruiters.

Actively participate in and contribute to the planning and implementation of admissions events (both virtual and in-person), including information sessions, DEI-related events, and yield events.

Collaborate with the Director, Analytics and Digital recruitment to participate in and contribute to the development of JD marketing and communication campaigns (EAB) to increase the size and quality of the pool.

Assist with the implementation of fall and spring orientation for new students.

Assist with special projects assigned by the Assistant Dean, Admissions and Student Engagement, and the Director, Analytics and Digital Recruiting.

Represent South Texas at in-person and virtual law school recruitment events throughout the country as needed. In-person events could involve out of town travel by air or car.

Actively contribute to improving the admissions operations at South Texas.

Comply with all aspects of the law school’s Customer Service Standards.

Must be professional and confidential of all department data and correspondence. The person must have a poised and professional image; strong ability to multi-task and prioritize in a fast paced environment, excellent interpersonal skills and the ability to interact effectively and efficiently with all employees, visitors and students while projecting a positive image for the area and college. Service oriented with ability to make all visitors feel welcome. Must be computer literate with proficiency in MS Office applications (Word, Excel and PowerPoint) with ability to learn new programs as necessary. Must be detail-oriented and able to work in a fast-paced multi-tasking environment.

Ability to travel approximately 30% of time, frequently involving extensive overnight stays.

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A. or B.S.) preferred. Minimum of at least 2-3 years’ work experience in a professional role within higher education student services (e.g., Admissions, Financial Aid, etc.) or in a related professional service environment.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, faculty, prospective students, other clients, and the general public.

MATHEMATICAL SKILLS

Ability to perform basic math essentials.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Being detail orientated, having strong organizational skills, and having the ability to multi-task is imperative.

CERTIFICATES, LICENSES, REGISTRATIONS

Must have valid Texas Driver's License and acceptable driving record.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Occasional light to moderate lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the law school (9:00 a.m. to 5:30 p.m.) plus occasional evenings and weekends as necessary.
