Position Summary:
The Assistant/Associate Dean for Student Affairs at Chicago Medical School (CMS) provides leadership for the academic success program, house and learning communities program, student professionalism and leadership, learner mistreatment and special programs. The Assistant/Associate Dean reports to the Senior Associate Dean for Student Affairs and is responsible for ensuring that all student affairs programs are in compliance with Liaison Committee on Medical Education (LCME) requirements. This position is also responsible for the continuous quality improvement of the student affairs programs developed for the support of CMS students.

Who We Are
Rosalind Franklin University of Medicine and Science (RFUMS) is a six-college graduate health sciences university dedicated to the interprofessional education of health and biomedical professionals. Chicago Medical School, the original college of the six, has been educating physicians and furthering biomedical research for more than 100 years. Established in 1912, the founders built a combined medical school and hospital where working men and women could study medicine at night.
As a community-based institution, CMS students experience a variety of clinical environments and models; including, inner-city and suburban hospitals, the James A. Lovell Federal Health Care Center that serves U.S. military personnel, as well as private clinics and practice settings. Training focuses on positioning patients at the center of care and as an active member of the healthcare team. During student didactic training, CMS’ simulation labs allow students to sharpen their interactive and communication skills and develop critical reasoning. Students have early clinical contact, experience a supportive environment, and can count on a faculty dedicated to student success.

Essential Duties and Responsibilities:
Medical Student Academic Support:
  • Develop and oversee an academic support program specific to the CMS population in collaboration with the CMS Director of Academic Support and the Senior Associate Dean for Student Affairs
  • Lead academic support workshops as part of the Academic and Career Advising Series (ACAS)
  • Work with individual students to ensure their academic success throughout the curriculum
  • Act as the liaison with RFU learning assistance support services
  • Act as the liaison with medical education faculty and administration
  • Oversee academic support programming for Step 1 and Step 2 exam preparation
  • Provide direct learning assistance for students having academic difficulty with a specific focus on the M3/M4 clinical courses shelf exams and the Step 2 exam
  • Manage the organization and communication of student progress data related to academics and learning assistance
  • Engage with CMS Diversity and Inclusion administration and advisors to ensure the success of students who are underrepresented in medicine

House and Learning Communities:
  • In collaboration with the Senior Associate Dean for Student Affairs and the learning community mentors, develop a structured program around the RFU nine dimensions of wellness
  • Select, orient, and train physicians to serve as learning community mentors
  • Meet monthly with learning community mentors to review programming, student concerns and to provide guidance to mentors
  • Oversee House Council Elections and training/development of student leaders
  • Meet regularly with and supervise student leaders of the CMS House Council to promote peer mentoring, social support, and wellness
  • Work with student leaders and mentors to monitor and develop the House System, which connects medical students across classes for advising, support, personal and professional development
  • Coordinate with medical education, academic support and career advising to train mentors and further develop programming through the learning communities’ system
  • Oversee events such as Field Day and Winter Carnival

Professionalism and Learner Mistreatment
  • In collaboration with the Senior Associate Dean for Student Affairs, vision, develop and execute a student leadership program, inclusive of professionalism development for all students
  • Facilitate CMS student professionalism committee system to evaluate issues of student professionalism
  • Ensure student awareness of the learner mistreatment policy and procedures for reporting mistreatment
  • Develop, implement and execute effective monitoring systems to ensure expedient response to all professionalism issues or reports of mistreatment

Leadership:
  • Supervise and continue to develop the CMS Director of Academic Advising and Support
  • Select, hire, train, and supervise additional academic advising support staff members
  • Supervise learning community mentors, providing developmental feedback
  • Supervise and develop the Coordinator of Student Programs

Special Programs:
  • Oversee the planning and execution of both the White Coat Ceremony and Transition to Clinical Education Ceremony
  • Collaborate with other senior leaders on special programs designed for students who are performing at exceptionally high and low levels

Support to the Senior Associate Dean for Student Affairs:
  • Serve as back-up to the Senior Associate Dean for Student Affairs, attending meetings or providing urgent response as needed
  • Participate in the completion of the MSPE (Medical Student Performance Evaluation)
  • Manage the organization and implementation of the Academic and Career Advising Series
  • Participate in LCME accreditation documentation and implementation of required elements
  • Engage in the development of the student affairs’ vision process and procedures using effective and continual quality improvement management
  • Committees as assigned

Other duties as assigned by the Senior Associate Dean of Student Affairs
Conditions of Employment
  • Must achieve satisfactory results from a background check
  • Must have proof of covid19 vaccination with booster or a university approved exemption

Required Education and Experience:
  • Terminal Degree (MD, PhD, EdD, PharmD, or PsyD) from an accredited institution of higher education
  • 5 years’ experience in a medical school setting.
  • 5 years’ experience in medical education administration
  • Experience with the Liaison Committee on Medical Education (LCME) and/or other accreditation bodies

Required Knowledge, Skills and Abilities:
  • Committed to student development and the provision of professional mentoring relationship with medical students
  • Demonstrated experience in medical education academic support with an understanding of learning theories and student success
  • Process oriented with strong detail focus
  • Training, development and management skills of staff
  • Able to construct, implement and manage systems long term
  • Student Affairs experience with activities and program development
  • Strong written and verbal communication skills
  • Ability to work with students, faculty, staff and administration
  • Strong commitment to diversity, equity and inclusion
  • Must have a passion for medical education.
  • Outstanding interpersonal skills to aid in developing strong and empathetic relationships with students with a willingness to listen to, understand, and advocate on their behalf, as well as a professional and engaged ability to work with faculty, staff, alumni, external audiences and potential partners.
  • Strong organizational skills to manage various stakeholders and initiatives.
  • Adept at relationship building and the ability to work collaboratively with internal and external local, regional, and national partners.
  • Demonstrated trustworthiness, integrity, and exceptional character.

Preferred Qualifications:
  • Prior experience as a leader (e.g. Assistant or Associate Dean) in undergraduate medical education is desirable.
  • Experience working with medical students is preferred.
  • Technological skills to manage and enhance database systems used in medical education
