Position Summary
Reporting to the Department Chair, the Director of Academic and Student Affairs is responsible for leading all administrative and operational aspects of the academic programs and student affairs of the Department of Computer Science (CS) in The Fu Foundation School of Engineering and Applied Science (SEAS).
The Director provides active, hands-on leadership of all student-related operations in the department and is responsible for maintaining the relationships with all student-relevant offices in SEAS and across the University. The Director develops and manages all the processes to track continuously and efficiently the academic status of all students in the department and to manage this information with financial support and various types of academic appointments. The Director is responsible to perform statistical analyses of the student population of the department and provides data-driven reports and recommendations to improve the educational and research mission of the department. This role provides leadership and will oversee all student services and operations, including but not limited to admissions, records, registration, graduation and compliance.
Responsibilities
- (40%) Supervise a team of staff in the day-to-day operations of the Student Affairs unit within the department of Computer Science. Includes assigning tasks, quarterly planning meetings, setting professionalism standards, creating innovative processes, overseeing work, ensuring staff competency. Ensures delivery of essential services and programming to ensure student retention and degree completion. Foster customer-focused, service-oriented environment and is knowledgeable about all student benefits and functions of Admissions, Financial Aid, Registrar, Student Accounts and Billing. Forecast, develop, and manage the Student Affairs budget. Includes monitoring expenditures, resources, and future projections.Direct, create, implement and improve the longitudinal processes involved in student services, including student Leave of Absence requests, matriculation procedures, graduation requirements, remediation requirements, attendance requirements and eligibility/verification processes. Compile and generate management reports, including scholarship funds, financial aid performance, and student demographics.Data-driven Analysis and Planning of Student Services: Develops and performs statistical analyses of the CS student population and the student experience as their progress through their academic and research programs in the department. Provides data-driven recommendations to the chair and the faculty on how to improve the academic program and student life. Direct the maintenance, creation, and integration of Student Affairs databases to ensure data accuracy. Evaluate current retention activities and recommend appropriate strategies and resources necessary to positively impact student retention rates. Regularly update leadership on the progress of retention strategies. Design and implement a program that would ensure academic advising.
- (40%) Working in close partnership with the Director of Finance and Administration, the Director develops, maintains and innovates the processes to track continuously and efficiently the academic status of all students, ensure compliance with the rules of the academic programs, and, as it applies, track their financial support and various types of academic appointment.Overall leadership and management of the daily operations of enrollment and academic services for the department that include the admissions process, procedures, communications, enrollment reports, and records for all curriculum programs. Responsible for developing, implementing, and overseeing the execution of an annual comprehensive enrollment plan with appropriate goals that include strategies to recruit and enroll students. Maintains admissions and records in accordance with State, Federal, and institutional regulations and provides accurate data for submission of University reports. Develops, and implements registration and enrollment policies and procedures in consultation with SEAS Deans Office. Plans, organizes, and manages the graduation exercises for the department. Verifies that all graduating students have met prescribed degree requirements.
- (15%) Directs the process for verifying and notifying students of admissions and academic eligibility for transfer or returning students. Development, implementation, monitoring, and revision of policies and procedures relating to admissions, enrollment and academic services within the Department. Provides leadership in the development of necessary programs and services designed to ensure student access, ease of entry and successful transition into the department. Serves as a member of the department leadership team and participates in campus-wide events, administrative, academic and external committees. Collaborates with the SEAS Admissions team to support recruitment and retention efforts.Training and Professional Development. Provides hand-on training and instruction for new members of the Student Services staff, and ensures that they are apprised of relevant changes in departmental, School, and University procedures and policies. Designs systems for cross-training, peer coaching, and mentoring to promote skill development and career progression for the Student Services staff, Proposes opportunities for recognition of their achievements.
- (5%) Performs related ad hoc duties and responsibilities as assigned/requested.
Minimum Qualifications
- Bachelor '* *s degree or equivalent, advance degree (e.g., Master in Education) preferred. Minimum of 5 to 7 years of substantial hands-on experience in student affairs in higher education and supervisory/management experience required.
- Must have, or be able to acquire quickly, a detailed knowledge of University policies, procedures, and systems. Must have extensive experience with all aspects of managing student affairs and operations, including but not limited to student admission, orientation, advising, counseling, and career placement. Experience on establishing automated or semi-automated processes to support the management of student affairs is strongly preferred. The ability to exercise discretion and judgement in sensitive and confidential matters is required.
- Must be detail oriented and possess skills for data analytics with a high degree of proficiency in spreadsheets using Excel. Must have a high degree of proficiency with MS Office. Experience with Linux is desirable.
- Must possess proven ability to effectively work with a culturally, linguistically, and ethnically diverse faculty, staff, and students. Experience with building a team and leading in a positive direction with a focus on providing excellent service to students. Experience in comprehending and analyzing data, creating reports, and presentations, suggesting recommendations and making data-informed decisions including student information tracking and records management. Experience with providing excellent customer service.
- Experience with managing multiple, competing priorities and prioritizing projects in a fast-paced environment with strong attention to critical details. Experience with adapting to constant change. Experience in maintaining the standards of confidentiality as established by the profession. Demonstrated knowledge of higher education retention issues and approaches. Demonstrated knowledge of academic improvement strategies for students experiencing difficulty. Strong written, interpersonal, group and public speaking skills.
- Ability to comprehend, interpret, and apply policies and procedures. Excellent organizational and time-management skills. Ability to communicate effectively orally and in writing with a diverse population.
- Knowledge and skill in accounting and budgeting procedures and techniques. Ability to problem solve and make decisions. Ability to exercise discretion and ensure a high-level of confidentiality.
- The ability to establish and maintain effective harmonious work relations with faculty, staff, students.
- Must have excellent interpersonal, communication, organizational, and leadership skills. Ability to establish priorities, work under pressure, and exercise independent judgment and discretion is necessary. Ability to react quickly and effectively to other inquiries from a variety of management levels with comprehensive and accurate information in a wide variety of contexts and changing priorities is needed.
