The Academic Success Program (ASP) at the Spencer Fox Eccles School of Medicine (SOM) is a team of educational professionals that provides a targeted and comprehensive suite of programs and strategies geared to foster academic success. The ASP is committed to supporting University of Utah medical students through tutoring services, academic workshops, and learning resources.

Supervises part-time student employees by coordinating and overseeing tutor and Supplemental Instruction assignments in the ASP. Ensures policies and procedures are implemented. Oversees tutor recruiting and hiring processes. Assesses quality of tutor program and implements appropriate changes. Updates tutor handbook and trains new tutors. Monitors and submits payroll for all ASP student employees.

Responsibilities
  • Oversee all aspects of the tutor hiring process. Establish a data-driven tutor recruitment process that takes into account tutor expertise and student need across the SOM educational continuum. Take into account budgetary parameters when determining hiring needs and tutoring policies.
  • Act as the liaison between ASP and SOM Human Resources to ensure timely completion of new hire paperwork. Coordinate all aspects of new hire process, including onboarding process and completion of required University training.
  • Implement and conduct tutor training sessions for all new hires. Make modifications as needed based on feedback and need.
  • Update the ASP Tutor Handbook.
  • Supervise all part-time ASP Tutors and Supplemental Instruction Leaders. Work closely with the Directors and Learning Specialists to ensure timely and appropriate pairing of students and tutors. Assist supervisor in determining Supplemental Instruction needs. Schedule sessions, including rooms, based on those needs. Notify students of scheduled sessions.
  • Implement and conduct tutor training sessions for all new hires. Make modifications as needed based on feedback and need.
  • Monitor and submit payroll for all part-time student staff, including tutors, mentors, and Supplemental Instruction leaders.
  • Assist the Senior Director in the development of ASP budget specific to tutoring, Supplemental Instruction, and mentoring. Ensure project goals align with needs. Assist with the tracking of expenditures.
  • Act as the liaison with other Dean's office units in scheduling Supplemental Instruction sessions and tutor training.
  • Develop and implement communication strategies between ASP and medical students specific to the tutoring, Supplemental Instruction, and mentoring programs. Consider the use of social media, ASP website, canvas, and email in this plan, along with opportunities for face-to-face notification.
  • Participate in Dean's Office and university committees as appropriate
  • Generate and compile monthly tutoring, Supplemental Instruction, and mentoring reports.
  • Act as a resource to identify and resolve problems and complaints.
  • Other duties as needed to support the mission and goals of the ASP.

Minimum Qualifications

Five years of experience in a related field, with two of those years working as a supervisor, or equivalency; knowledge of related trade or department specific equipment, systems and procedures. Demonstrated organizational, human relations and effective communication skills are also required. Some areas of assignment may require additional experience, specific licensures or registrations.

Preferences

Applicant must have basic computing skills including working knowledge of Excel and Outlook. Applicant must have potential to learn other systems including the campus payroll system, Kronos.
