Budget Title: Staff Assistant (SL-2)

Salary: $46,000

The Office of International Education and Global Initiatives (IEGI) administers Binghamton University's international exchange and education abroad programs.

The IEGI Staff Assistant provides professional-level administrative, technical, and programmatic support to the functions assigned to the IEGI, with particular attention to oversight of the front desk. The designated responsibilities are to be performed with attention to accuracy, clear and courteous communication with IEGI partners, and the efficiency required in a public university environment. Energetic enthusiasm is important for the promotional and outreach functions of this position. The applicant must maintain excellent working relationships with faculty, education abroad directors and advisors, counterparts in other institutions in the U.S. and abroad, Binghamton University campus offices, and with students and parents. The IEGI Staff Assistant needs to exercise high levels of diplomacy, patience, cooperation, collegial communication, and, on occasion, the ability to be calmly firm.

Duties:
  • Develop best practices for customer service through in-person, telephone, email, and virtual communications
  • Develop and implement training protocols and quality control processes for the IEGI front desk
  • Manage hiring, training, and supervision of student assistants
  • Serve as point-person for IEGI website (Omni) updates
  • Assist with Terra Dotta (education abroad software system) management, updates, document uploads, and related tasks
  • Review and assess education abroad program updates and make recommendations to streamline processes and improve services, as appropriate
  • Oversee and monitor the IEGI email, maintain canned answers, evaluate email correspondence and provide statistics/data related to student support/traffic/emails, etc.
  • Understand the education abroad application process and be prepared to help others understand, as needed
  • Coordinate semesterly education abroad fair event logistics and marketing under the guidance of team leadership
  • Maintain office supplies, equipment, and promotional materials associated with IEGI communications (i.e. printed materials, letterhead, envelopes)

Requirements:
  • Bachelor's degree is required
  • Proficient in Microsoft Office and Google Workspace
  • Demonstrated analytical thinking
  • Excellent customer service skills
  • Demonstrated ability with learning new systems/technology
  • Ability to communicate effectively in a fast-paced office environment and work successfully as part of a team
  • Demonstrated ability to exercise sound judgment, handle confidential matters with tact, and a high degree of discretion.
  • Ability to work well with a wide variety of constituencies and exercise patience.
  • Ability to handle multiple assignments with diplomacy, efficiency, and effectiveness.
  • Ability to work independently and cooperatively in a diverse, busy office environment.
  • Ability to adhere to University policies and procedures

Preferred:
  • Multilingual candidate
  • Experience in higher education
  • Experience with CRM system (e.g. Terra Dotta)
  • Experience with a student information system (e.g. Banner)
  • Experience providing training or instruction
  • General knowledge of the University's mission, purpose, and goals and the role this position plays in achieving those goals
