Duty Schedule:

8:00 AM to 5:00 PM. MTWRF Minimum 40 hours a week. May require evening and/or weekend work.

Summary /Objective of Position:

The Admissions & Records Technician will be primarily responsible to assist the admission & registrar office with a variety of technical duties involving admissions, registration, and records maintenance and day-day direct services at the front desk. The position will support the college's push towards digital migration from paper student records to digital repository supported folders.

DATA ENTRY/ DIGITAL SUPPORT 95%

-Receive and process admissions applications, assist completing students' folDisclaimer: This is notders with all required documents

-Use the telephone and written communication to contact students for admission related processing.

-Organize other appropriate reference materials; prepare and maintain student files.

-Support the Department's transition to SoftDocs Document Repository. Uploading all incoming documents to student's digital files.

-Assist with the backlogging of paper folders to digital folders.

-Receive and process incoming transcript including copying, affixing seals, receiving fees and mailing to appropriate locations; maintain records of transcripts in Digital Folders.

-Prepare and maintain a variety of records, reports, and files related to students and assigned activities; maintain confidentiality of student information.

-Assist students at the front counter; disseminate information about admissions procedures and the college; make referrals as appropriate.

- Assist with (raw electronic/paper) data storage and organization

- Extract data for departmental use and institutional support for Internal Use Only

- Maintain effective working relationships within a diverse and multicultural environment

- Work both in dynamic teams and independently on projects to meet deadlines

OTHER DUTIES AS ASSIGNED 5%

Other duties as assigned for the function of the department.

QUALIFICATIONS

Education & Experience

Minimum:

Associates degree in Office Administration, Business, or a closely related field. One year of experience with data entry of student records in a Higher Education Setting.

Knowledge:

Strong organizational and time management skills
Ability to work independently
Ability to interact in a professional manner with staff, students, and the public.
Excellent verbal and written communication skills
Independent decision making and problem-solving abilities
Professional appearance and demeanor.

Skills:

Proficient skills with Microsoft Office: i.e. Excel, Pivot Tables, etc.
- Must have strong project management and organizational abilities and skills.
- Strong written and verbal communication skills; written, oral, active listening and interpersonal skills.
- Work effectively in team situations.
- Excellent customer service skills using tact and diplomacy; professional and pleasant office manner.
- Excellent listening skills; patient and calm.

Abilities:

- Ability to analyze and interpret data.
- Ability to prioritize information in a timely manner.
- Ability to communicate clearly by phone and in person.
- Detail oriented and able to organize and manage multiple projects while maintaining a high level of accuracy.

Physical Requirements, Work Environment & Travel:

Work is typically done in an Office work environment. At times required to lift typical office equipment and supplies. Travel required to other campus and sites. Able to work in a high pressure office setting during peak business times of the year.

Other Requirement(s):

Valid State Driver's License. Ability to Speak Navajo is a plus.
