Student Services Specialist in Human Biology (Hybrid)

The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 23 departments and 25 interdisciplinary programs. H&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. The Program in Human Biology is a large and diverse interdepartmental undergraduate major. The program's mission is to provide an interdisciplinary approach to understanding the human being from biological, behavioral, social, and cultural perspectives. Each Human Biology student designs an individualized course of study focused on an area of interest within the broad scope of the program. Students also have the opportunity to pursue research or other creative projects within the major as part of their capstone requirement.

Human Biology seeks a Student Services Specialist to assist the Student Services Officer in providing administrative and operational support on issues regarding major advising and academic services. A strong candidate will show a record of attention to detail and the ability to maintain accurate records. The Student Services Specialist will provide advice to undergraduate students on a range of issues to guide them in making appropriate choices and decisions and will assist with student declarations and conferrals. Therefore, they will need to understand the program requirements and policies and advise students on them. The Student Services Specialist must always work towards improving student service possesses while maintaining a team-based and student-focused mindset. It is critical that the successful candidate exhibit sound judgement and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management. The person in this position must also show a strong desire to learn new and unfamiliar student services topics, policies and procedures as they relate to advising and academic services-the ability to translate this information into operational success will be critical.

This is a 100% FTE, continuing, non-exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

The core duties of this position are:
  • Review documents and forms for completeness, track files for follow up and distribute for review.
  • Research and resolve routine issues, refer complex issues to other staff.
  • Input data, update electronic databases, web sites, literature, and associated materials; May collect, gather and validate data, prepare basic reports.
  • Coordinate logistics for outreach activities, meetings, and events.
  • Respond to routine inquiries from students, faculty, external constituents, and staff.
  • Serve as a subject matter resource to students and other departments.
  • Contribute to general office administration and process improvements.
  • May train and direct day to day activities of student and temporary workers.

To be successful in this role, you will bring:
  • Associates degree and one year of relevant experience, or combination of education and relevant experience. Bachelor's degree preferred. Familiarity with Stanford and Human Biology is a plus.
  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite.
  • Basic office administration skills.
  • Customer service skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.

Additional highly preferred skills included:
  • Ability to direct the work of others, for jobs requiring supervision
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Able to accomplish goals working through formal and informal channels with diplomacy and tactfulness.
