The School of Pharmacy, Regulatory Science Program of the University of Southern California (USC), invites applications for a full-time staff member with the title,Student Services Assistant, Admissions and Enrollment, who is strongly committed to excellence in supporting student affairs, with a focus on admissions and enrollment to meet the strategic objectives of the Department of Regulatory and Quality Sciences.
Reporting to the Program Manager of Admissions and Professional Development, the Student Services Assistant, Admissions and Enrollment will work closely with all the key stakeholders, including faculty and staff, graduate, professional and undergraduate students, potential and current applicants, and internal/external collaborators to coordinate and support all projects, activities, and events needed to advance the objectives of the program.
Specific tasks include:
Admissions:
Applications
- Manage RegSci Admissions applications for the doctoral, masters, dual degree, progressive degree, and certificate programs
- Coordinate with Program Manager - Admissions and Professional Development regarding admission process and evaluation of candidates
- Compile application materials for Admissions Committee to review electronically
- Assist in preparations for Admissions Committee meetings
- Track applications using the Master List in Box
- Work with the Program Specialist, Recruitment and Advisement to identify and recruit internal candidates taking RegSci courses (e.g., SoP students, Postdocs, and USC students outside of SoP)
- Perform annual WebAdmit application management and portal configurations
Data reporting
- Submit student demographic information every November to outside entity
- Verify tuition for current semester
- Provide enrollment and admissions statistics to the department chair as requested
- Update the cohort tracking sheets with new information - new cohorts, updated contact information, dissertation milestones, dissertation titles and completion dates
Enrollment:
Department Clearances
- Create and maintain course rosters for each semester
- Create Google form for requesting department clearance (d-clearance) and export results
- Announce registration and d-clearance in Constant Contact to current students
- Grant d-clearance in SIS, notify students they can register, add Student ID/Names/Email to course tab in the roster
- Respond to student inquiries about courses, schedules, pre-requisites, and enrollment restrictions.
Website/Communications
- Maintain Constant Contact Database
- Submit finalized course dates to the SoP website/communications team
- Ensure semester course schedule on website is up to date
- Update ongoing list of doctoral dissertations from the USC Digital Library
- Upload and announce new jobs to current students and alumni in Constant Contact
Additional:
- Create, update, and maintain accurate Standard Operating Procedures (SOPs) for the position
- Other duties as assigned by supervisor
Preferred Qualifications:
Must have the ability to communicate accurately, clearly and with a high standard of excellence both orally and in writing. Must conduct self in highly personable and professional manner, prioritize workload appropriately, have a customer service orientation and positive/can do approach to work.
Microsoft Office (Word, Excel and PowerPoint), Outlook and Doodle Poll experience required.
Knowledge of SIS, WebAdmit, Qualtrics, and Blackboard is a plus.
Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education
Minimum Experience: 1 year
Excellent interpersonal, oral, and written communication skills for interacting with both domestic and international stakeholders. Demonstrated attention to detail. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem-solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
