Position Summary:Are you looking for a position where you can utilize your excellent customer care skills to help students needing assistance? UAF Community and Technical College is looking for a motivated and energetic student services assistant to be part of our workforce development team; helping students with information on registration, admission, financial aid, academic advising, testing, fee payments, and more! This position Is a 12-month staff position with a comprehensive UA employee benefits package. Duties:
1-50 CTC Programs Support: • Act on own initiative to an unpredictable range of daily inquiries and activities involving UAF CTC faculty, staff, adjuncts and students. • Serve as first point of contact and representative of UAF CTC to students and public. Responsible for disseminating information about UAF CTC and determining how best to guide or refer the person making contact. • Must be able to navigate difficult situations; assessing problems, determining the appropriate resources or solutions and communicating effectively to contain and/or prevent such situations from escalating. • Act as central point of reference for faculty, adjuncts, staff, and student workers for ongoing policies and procedures, knowing Banner screens, and preparing for courses taught and reviewed. • Provide essential and confidential information to instructors as needed, including class rosters, registration forms, grading report forms and student course information. • Correspond with students with inquiries about CTC programs; send information; direct them to program faculty, advisors and websites; and follow up to ensure inquiries have been answered to the student's satisfaction. • Proctor all testing (GED, Pearson Vue, Accuplacer, ASE...). Provide instruction to students regarding placement testing and other student support services within UAF CTC Student Advising and Registration Center. • Share basic advising information for UAF CTC via walk ins, phone, email and social media and refer detailed advising questions to the appropriate general or program advisors. • Provide support services to facilitate advising to include printing student transcripts, scheduling advising appointments for students with appropriate faculty or staff advisor and managing confirmation of advising appointments. • Request necessary information from students as prescribed by each program to complete the student's file. • Prepare and maintain departmental advising files of prospective and current students. • Interpret, advise, and assist advisors in the evaluation of proper courses needed for student graduation. • Track and communicate UAF and CTC academic deadlines, new policies and procedures that will affect students and staff/faculty. • Participate in UAF CTC admissions, registration, fee payment and financial aid process planning, events and activities. • Assist programs and CTC Marketing with program support materials and regularly review CTC web pages to communicate outdated links and information to CTC Marketing. • Supports the management of departmental documents, program data, reports, curriculum, accreditation information and contacts, and student evaluation data (e.g. approved curriculum, course syllabi, program protocols/procedures, program data, accreditation information/contacts, current textbooks in use, specialized program equipment). • Manage document-imaging process of confidential student records. • Sort and distribute mail for all of CTC main location/downtown center. • Manage maintenance of multiple CTC calendars, Faculty and Staff directory information, and maintain CTC email lists Essential
25 Fiscal Responsibilities : • Ensure CTC accounts receivable and process deposits as needed. Provides cashier functions for CTC students to deliver fee assessment/cashiering services for year-round fee payment process. • Prepare and review student financial accounts including assessing charges, posting of payments and collections, error detection, and correction. • Determine when to place or release financial holds on student transcripts and registration. • Contact students being dropped for non-fee payment after fee payment deadline to resolve non-payment status. • Collect fees from students, faculty and staff, and issue receipts. • Receive payments in-person and via mail, prepare bank deposits, reconcile daily transactions from Banner. Cash box custodian for CTC Student Services financial transactions. • Adhere to UAF and CTC cash handling and PCI compliance in conjunction with the Board of Regent's Policy and Regulations. • Process payments, handle questions in person and by telephone regarding undergraduate and certificate programs; assist with online financial aid processing. 3-25 Student Services: • Serve as a liaison for UAF CTC with UAF Admissions, UAF Registrar's Office, UAF Financial Aid, UAF Bursar's Office and other student oriented departments, as well as with faculty. • Ensure that all privacy compliance (FERPA) regulations are met with regard to student records. • Admissions resource person for all CTC programs. • Conduct all registration services for UAF CTC to include point of contact for all UAF CTC registration processes. Assist all UAF CTC departments with their varying and unique registration processes and payment tracking. • Direct students to various tools and resources for use in successful educational planning. • Assist students and public in the computer lab with computer applications (UAOnline, assessment testing and general computer operations). • Provide information to students on individual courses, programs, certificates, degrees, general petitions and transfer requirements. Assist students with registration, admission, petition, withdrawal, graduation, and mandatory training requirements. • Gather information from students, evaluate documents and materials received (both written and oral) and determine student status as outlined in UA's academic regulations and other applicable policies and regulations. • Verify academic records and enrollment. • Manually process student registrations in Banner; assist students registering on-line; check for I.D. cards. • Assist students with scheduling classes; check for class conflicts. • Instruct students in correct procedures for completion of financial aid forms and applications, explaining the applications, requirements, and restrictions; review completed forms for accuracy and completeness. • Work with students requesting cancellation of charges by collecting information to evaluate the request, making initial assessment concerning cancellation of charges, gathering additional information from student if an exception to the cancellation policy is requested, evaluating and reviewing information and documentation to approve/deny routine exceptions. Communicate information collected to the supervisor for review and final determination on complicated exception requests. Discuss complicated exceptions with supervisor and make recommendations for best resolution while considering the impact of the decision on future collection policies and practices. • Respond to requests for information regarding admissions and records; receive transcript requests and process. • Assist students in interpreting degree/major requirements and articulations agreements and transfer guides to four-year colleges. • Research and resolve issues brought to the attention of the UAF CTC Student Advising and Registration Office. • Develop, recommend, coordinate and implements techniques and practices to improve the operation of the office, with a special emphasis on the registration function, ensuring optimum performance and service to students. • Coordinates and maintains all items that relate to the registration cycle, including updates to registration information in the catalog, schedule of classes and the website. The successful candidate must be able to use resources and networking to provide faculty, staff, and students with correct information regarding academic and non-academic University policies and procedures.
The person selected must be able to determine correct usage of University forms including HR, Academic Programs, Payroll & Finance forms and must be able to differentiate between multiple program accounts/budgets for expenditures.
Experience with University BANNER system, Finance & Student modules preferred. Experience as a lead worker preferred.
This position is vital to the UAF CTC's mission in providing student assistance.
Occasional travel to various on and off-campus locations.
Knowledge, Skills, Abilities: * Knowledge of office practices and procedures; spelling punctuation, grammar and sentence structure; formats for correspondence and reports; filing systems.
- Experience with PCs required. Ability to operate word processing programs, business machines and equipment. Must be able to type at least 50 wpm with accuracy. Must be able to e-mail clients and send electronic documents through internet.
- Ability to work and handle delegated administrative assignments independently; determine priorities and meet deadlines; work cooperatively with a wide variety of people; work well under pressure.
- Ability to courteously handle and deal with a wide variety of public contact both on the telephone and in person; analyze situations with a high degree of independence.

Typical Experience:
1 year prior office experience.
Required Education or Training:
Associate's degree and two years relevant experience, OR an equivalent combination of training and experience.
