Job Summary

The Education Abroad Administrative Coordinator will provide administrative support for Education Abroad events, outreach, and curriculum integration.

Essential Functions
  • Assists with pre-event planning and logistical arrangements in collaboration with the Assistant Director of Education Abroad; provides day-of support as required and assist with tracking of event attendance. Liaises with IPO's Communication and Marketing Specialist to achieve maximum visibility of IPO events.
  • Manages record-keeping and calendar for international partner visits and campus outreach in collaboration with the Education Abroad Advising Center Coordinator; serves as point of contact for International Education Organizations.
  • Staffs Education Abroad Advising Center as directed; serves as backup to Advising Center Coordinator.
  • Assists with the maintenance of various IPO databases including but not limited to IPO's general education database of approved courses at international educational institutions and IPO's database of approved course equivalents and generates informational materials about pre-approved international classes for both IPO and departmental advisers.
  • Facilitates curriculum integration (CI) between UMass Amherst academic departments and international educational institutions attended by UMA undergraduate students abroad and assesses efficacy of ongoing curriculum integration efforts as part of intra-office working groups.
  • Reviews international course catalogs and identifies coursework corresponding to specific UMA degree requirements, and coordinates review of selected classes with UMA department faculty.
  • Generates curriculum map of proposed UMA-International course equivalencies.
  • Manages databases and records as related to study abroad curriculum and course mapping.

Other Functions
  • Serves as back-up to IPO Receptionist and Executive Assistant to the Vice Provost of Global Affairs.
  • Understands responsibilities with respect to Title IX, Clery and other compliance requirements.
  • Performs related duties as assigned or required to meet department, Executive Area/Division and university goals.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
  • High school diploma or equivalent.
  • Ability to organize work, exercise good judgment, complete tasks in a timely manner, collaborate, perform routine supportive tasks.
  • Excellent oral and written communication skills and interpersonal communications.
  • Proficiency with Microsoft Office and Google Office suites essential, particularly Excel and Google Sheets.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
  • Experience living, studying, or working outside the United States.
  • Experience advising undergraduate students for international study.
  • Familiarity with study abroad programs.
  • Familiarity with higher education systems and international education in the U.S. and abroad.
  • Familiarity with Via TRM and Navigate or equivalent software.

Work Schedule
  • Monday - Friday, 8:30 am - 5:00 pm.
  • Required to work occasional multiple evenings and weekends during the year.
  • May include some domestic and/or international travel.

Salary Information

Grade 13.
