Duties and Responsibilities

  • Program Development: Responsible for study abroad program development and oversight including: meeting with academic units interested in developing exchange, direct-enroll or faculty- led programs; assisting with the identification and vetting of potential partner institutions/programs abroad; establishing study abroad program objectives, budgets, and timelines; assisting with developing program agreements and liaising with partner institutions and organizations; implementing programs; and initiating and reporting findings of program assessment.
  • Strategic Alignment and Implementation: Work at the direction of the Sr. Director of Global Initiatives to promote Loyola’s strategic vision for global engagement. This includes working to develop programs and relationships with identified strategic international partners and organizations. Works with the Office of Global Initiatives to advance integrated partner relationships and agreements when they involve aspects of study abroad.
  • Advisement and Student Services: Manages outbound Loyola student advisement orientation regarding study, research, intern, volunteer, and teach abroad opportunities. Ensures that students receive appropriate advising in order to identify a suitable program of study and sources of funding, as well as academic planning. Performs direct advising activities as required. Conducts pre- departure orientation; manages judicial, health, and safety advisement. Manages student emergencies as they arise, consulting with the Sr. Director as needed.
  • Marketing: In coordination with the Sr. Director, Loyola Global Centers, and Enrollment Management, the Director helps lead the development, implementation and evaluation of the study abroad recruitment strategy in order to meet enrollment goals; collaborates with university partners to design and execute marketing campaigns and develop communication materials, including print, video, web, promotion, and social media components, to support effective recruitment. The Director leads and coordinates hosted promotional efforts, including a semesterly study abroad fair, open house events, and in-class presentations. The Director is responsible for overseeing management of study abroad web content, social media accounts, and other outreach efforts.
  • Faculty-Led Program Support: Direct the faculty-led program proposal process, from recruitment and call to proposals to proposal review to program implementation and return. Chairs the Faculty-led Program advisory group. Conducts workshops and training for faculty and program assistants engaged in leading programs abroad. Coordinates pre-departure activities with faculty leaders. Communicates Office and University policies and procedures to faculty, logistics providers, and overseas partners. Manages the program proposal process and processes vendor contracts.
  • Assessment and Administrative Oversight: Assists Sr. Director with special initiatives as well as day-to-day management of the office. Leads the review/development of, and communicates and administers, Loyola study abroad policies. Manages overseas insurance procurement, enrollment, billing and waiver processes. Provides administrative support for special populations and programs as assigned, including Center programs abroad. Additional projects and duties as assigned.
  • Management: Hires, trains, supervises and evaluates the performance of study abroad advising staff, as well as undergraduate and graduate student staff. In consultation with the Sr. Director, provides issue resolution for unique situations encountered.
  • Manages the employee, non-credit, and graduate international traveler registration system (i.e. travel for conferences, research, athletics student organizations, graduate overseas study; operates system and makes improvements as needed. Advise employee, non-credit, and graduate student international travelers. Monitor study abroad/international traveler registration software systems, operate systems and collaborate with ITS on fixes/improvements.
  • Manage study abroad-related accounting units and ensure budgetary oversight for the Study Abroad Office . Issue consular letters and manage visa application process for Rome students. Coordinates the administration of the Ricci Scholars program (application process, financials).
  • Manage renewal, establishment, and termination of exchange, affiliate, and all other study abroad-related agreements; review with relevant LUC units, write agreement improvements, and manage agreement signing.
  • Direct review of proposed high-risk international travel. Ensure compliance with all university and government financial, risk management, personnel, academic, conduct, and other policies as related to abroad activities; resolve violations. Evaluate and manage renewal of study abroad insurance contract, adjudicate opt-out-appeals. Actively monitor safety and security abroad and direct all emergency response for studyabroad student travelers. Serve as the Study Abroad Office primary representative to Loyola academic and administrative units and to study abroad participant family members, study abroad programs, the Forum on Education Abroad, NAFSA Education Abroad unit, OSAC, IIE, CLS, Gilman, State Department ECA, Partners of the Americas.

Minimum Qualifications:

Master’s degree; minimum of eight years of experience in the study abroad field; knowledge of exchange program and faculty-led program development and implementation; experience with assessment, policy development, and risk/crisis management; experience with curriculum mapping and integration; experience in marketing and recruitment for study abroad. Experience studying, working or living abroad.

Preferred Qualifications: Master’s degree in higher education, international education, or related field. Knowledge of a second language.
