Job Description:

The Licensing Staff Assistant serves as part of a team of professionals in the Office of Licensing and Cadet Shipping, which provides education, guidance, and service to students at SUNY Maritime College. The Staff Assistant's primary responsibility is to provide clerical and administrative support to the Coordinator of Licensing. The secondary responsibilities would be assisting the Coordinator of Cadet Shipping in times of high volume. The Staff Assistant will work within the Office of Licensing and Cadet Shipping area with other staff members to sustain and expand the vision and mission of the College.

 

Duties and Responsibilities:

Provide support/assistance with:

  • Daily activities for the SUNY Maritime Licensing and Cadet Shipping Department Assist cadets in license-option programs with the U.S. Coast Guard application process and perform initial vetting on all applications for accuracy. Work with cadets to rectify any discrepancies before applications are submitted to Licensing Director Work closely with Health Services on the submission and accuracy of the physicals on form CG-719K for license applications Work closely with Regiment to procure drug letters required for all USCG license applications Work closely with the TSES administrative assistant in tracking all USCG license requirements that comprise the training ship including, but not limited to, sea time and coursework Generate all STCW certificates for graduating USCG license-option cadets, including dual diploma cadets Input data into electronic databases to track cadet progress through license-track programs Assist Licensing Coordinator with all license meetings including, but not limited to, preparing deliverables and reporting attendance Assist with the administration of the USCG license exam when scheduled Track credentials as they are received from the National Maritime Center ensuring that all requirements are met before releasing license documents/credentials to cadets Maintain hard-copy and digital files on all cadets in license-option programs Answer phone and emails on behalf of Director of Licensing and Cadet Shipping as requested Maintaining accurate and current information on the college's licensing web page Other duties assigned

 

Requirements:

Required Qualifications

  • Bachelor's Degree One year of experience in a related field Experience working with and serving a diverse, college-aged population Ability to work independently and collaboratively within a multidisciplinary environment Ability to prioritize multiple projects with a high degree of attention to detail Strong and proficient organization skills Ability to adhere strictly to FERPA policies regarding confidential and personally identifiable information (PII) Strong written and oral communication skills Must be highly proficient in Microsoft Word and Excel Experience working with database applications

 

Desired Qualifications

  • Knowledge of Student Affairs and policies and procedures 1-2 years of experience working in the area of Student Affairs Knowledge associated with USCG licensing program

 

Additional Information:

Classification/Salary Range: The Licensing Staff Assistant is a UUP position. The anticipated salary range for the position is $47,500 - $55,000 annually, with an outstanding benefits package (for more information please see the Full-Time UUP Benefits Summary). Salary will commensurate with qualifications and experience. Review of applications to commence immediately and conclude when the position is filled.

 

Special Notes: This is a full-time calendar year appointment UUP Position.  Fair Labor Standard Acts (FLSA) Exempt position, not eligible for the overtime provisions of the FLSA.  Internal and external search to occur simultaneously.
