Global Engagement Systems Coordinator
The Division of Global Engagement (DGE) works to make the University of Oregon a more global university. In 21st-century higher education, international engagement is not an optional extra: as noted in UO's Academic Plan, it is a core mission, essential to a thriving, socially salient, intellectually robust, academic community. It is part of the normal functioning of every school, college, department, and center. DGE works to support and integrate the wide range of international engagements, global-scale projects, and transnational partnerships launched and maintained in our many academic units. Units within DGE consist of International Student and Scholar Services (ISSS), Global Education Oregon (GEO), Global Studies Institute (GSI), and Mills International Center.
The Global Engagement Systems Coordinator (GESC) is primarily responsible for managing the technology systems used by the Division of Global Engagement, including Terra Dotta, Smartsheet, Sunapsis, or like systems. The GESC builds efficiencies within and across systems, creates new functionalities that serve a wide range of programs within the Division, and trains and supports staff in adopting and using the different technology systems. The GESC leads GEO’s efforts to optimize the use of information systems and streamline associated processes. The GESC develops and implements solutions in the areas of integrated database administration, collaboration software, technical support, and user training. Critical to the success of this role is the ability to translate technical information for non-technical audiences and to turn non-technical feedback into specific technical action items.
The GESC reports to the Assistant Director for Analytics and Student Success and collaborates with DGE Central Administration, GEO staff, ISSS staff, and GSI staff. This position will work with GEO staff to ensure that all functionalities in our application management software (e.g. Terra Dotta Studio Abroad) are ready for use by stakeholders such as students, faculty, and campus partners; such functionalities include opening study abroad program applications, updating dates and deadlines, preparing query watches, and creating and revising questionnaires, signature documents, and material submissions. The GESC is responsible for ensuring the optimal use of the Terra Dotta data management system and its optimal connectivity with other GEO and university systems. To this end, the GESC analyzes relevant business processes, collaborates with relevant IT units to integrate Terra Dotta with university systems, manages the execution of all system change requests, manages Terra Dotta access rights for multiple user groups, and manages the upgrading of all GEO systems, including Terra Dotta.
The GESC will also maintain, build, and interconnect Smartsheets that pertain to program budgets, program master lists, faculty program proposals, institutional relations, and other workspaces. The GESC will act as liaise with the product vendors as well as UO Information Services, troubleshoot issues, and assist DGE staff on the best use of the systems.
