Position Summary:

The Coordinator of Graduate Recruitment is responsible for coordinating varied and complex projects, many of a confidential nature, which include collecting, analyzing, and interpreting research data related to graduate enrollment management, working with department chairs and graduate program directors on promotional strategies and communications, and providing recommendations towards the creation and support of the Graduate Strategic Enrollment Management Plan. This position focuses primarily on recruiting for Master of Science in Administration (MSA) degree programs and related graduate certificates. This position works closely with faculty and staff within the MSA unit and other academic units and service providers within the University to assist with developing targeted recruiting and communication strategies to support graduate admission and enrollment. This position will work closely with academic units and other University offices to assist with developing targeted communication strategies to support graduate recruiting and enrollment, in terms of quality and quantity as well as to design and prepare assessments of programs supporting CMU's strategic graduate recruiting process. In addition, this position will assist the Director of Graduate and International Recruitment with the development and execution of the graduate SEM plan, which includes assisting with and/or developing and distributing promotional messages and materials. This position assists with the daily operations of Graduate Recruitment and interacts regularly with prospective graduate students and their supporters in person, by email, or by phone. This position requires frequent travel by car, public transportation, or air.

Required Qualifications:

Bachelor’s degree.
One year of professional experience, preferably in higher education or related field.
Demonstrated experience working with data, databases, spreadsheets, and/or data reports.
Demonstrated organizational and/or project management skills, with effective attention to detail.
Willingness and ability to travel frequently and to work evenings and weekends when needed.
Ability to independently manage multiple projects and complete assignments on time.
Ability to work with information systems and financial records.
Ability to accurately perform work assignments, construct documents, and generate reports.
Ability to effectively communicate and interact with current and potential graduate students.
Ability to maintain confidentiality of sensitive issues as needed.
Ability to perform the essential functions and requirements of the job.

Preferred Qualifications:

Master’s degree or equivalent.
Experience in marketing, recruiting, or college admissions.
Experience with specialized computer programs and systems such as SAP and CRM.
Strong interpersonal and public communication skills.
Experience writing and editing reports and/or project plans.
Ability to create and/or enhance promotional communications and materials.
Desire to continue learning and improving upon knowledge and skills.

Duties & Responsibilities:

Utilizes SAP, Data Warehouse, CRM, and other information systems to generate reports and provide in-depth analysis on key success factors relating to all stages of graduate recruitment, including the accumulation and progression of graduate-level inquiries, applications, admissions, enrollment, persistence, degree completion, and continuing education. Provides data synthesis, interpretive assessment and trend analysis, and recommendations to academic units, key administrators, and stakeholders in Graduate Recruitment, Admissions, and Retention, and to various academic units across campus.
Plans and conducts organizational, operational, and program-specific data collection and research among comparative universities and peer institutions, current and potential partner organizations, third-party organizations or associations, and feeder schools.
Assists in review, analysis, and planning of promotional information, messaging, and other communications for graduate recruiting and admissions.
Plans, conducts, and coordinates multifaceted research including operational and financial, regulatory and governmental, and market- driven demand and enrollment projections to assist academic units and to support the University’s strategic enhancement and/or expansion of academic programs, academic program options, and graduate enrollment planning initiatives.
Plans, creates, and schedules targeted communications for key target markets and niches at all stages of the graduate prospecting, recruiting, and student service experience; collects and analyzes data to more accurately and uniquely identify each market niche and to better understand the pertinent educational wants and needs; and writes general and highly specialized email, direct mail, web-based messaging, and telephone-based communications.
Designs, prepares, and provides special analyses and vetted assessments, functional and progressive recruiting and enrollment reports, print-based assessments, and visual/auditory presentations as needed.
Represents Graduate Recruitment in planning sessions with academic units, on committees, and in special cross-campus projects relating to enrollment history, forecasting, prospecting, recruiting, and student-based service and support.
Directly and indirectly communicates with current and prospective students and their families, working with academic units while scheduling campus visits and appointments, and working with GRA and academic program leadership to coordinate related activities and follow-up communications.
Develops communication plans and implements and maintains CRM communications, including preparation of letters, memos, responses, reports, and other correspondence.
Works with academic and service units to create, update, and maintain internal websites and landing pages, which requires proactive review and implementation.
Works with academic unit leadership and University Communications to create customized messaging and/or materials for new academic programs or program options.
Updates content for each program and coordinates enhanced promotional messages and materials.
Updates promotional information with online and print directories and search engines as needed, including gathering and supplying appropriate data when requested.
Conducts presentations and meets with prospective students and their supporters individually or in large and small groups, meets with visiting professionals, and assists with coordinating department-based visits and tours.
Answers the telephone, makes calls, and provides other communications for recruiting and admissions.
Assists with marketing activities, including research, media review, advertising and other promotions.
Performs specialized administrative duties in support of graduate marketing and recruiting, including coordinating promotional contracts, monitoring advertising campaigns, and documenting activities.
Supervises the creation, implementation, and reporting functions of surveys and email campaigns (prospective student lists, graduating students, alumni, etc.).
Assists the Manager of Graduate Recruitment with supervision of student employee projects and approves employee time cards and pertinent records as needed.
Reconciles credit card purchases, or assists as needed, and processes paperwork for travel vouchers and/or credit card purchases.
Creates, maintains, and updates databases, files, contact lists, and printed documents as needed.
Maintains internal information systems and manages financial records by monitoring and tracking expenditures and preparing statements or reports as needed.
Coordinates the purchase of promotional items with academic units as needed.
Conducts special projects and assignments as directed.
Performs other duties as assigned.
