Stanford Online High School is also the home of Stanford Pre-Collegiate Studies (SPCS), which provides a diverse array of academic enrichment programs that take place in both the summer and the academic year. SPCS programs serve intellectually curious pre-college students from around the world.

The Student Services Coordinator will join the SPCS Outreach Programs team, which is responsible for planning and implementing Summer Institutes, Stanford Humanities Institute, Stanford University Mathematics Camp (SUMaC), Stanford Middle School Scholars Program and Stanford Math Circle. The Student Services Coordinator will provide advanced administrative support, customer service and project assistance for SPCS programs.

Your past experience with administrative support, collaborative project management, customer service, and support for students from underrepresented backgrounds are a strong alignment for this role.   • Stanford Online High School and Stanford Pre-Collegiate Studies offices are located at the Stanford Redwood City Campus, however this position is eligible for hybrid work arrangement upon mutual agreement.*

Your responsibilities include:
  • Serving as primary liaison for all student, parent or guardian concerns arising out of pre-college programs, responding to all inquiries and providing routine customer service during summer programs using knowledge related to current policies. Provide and implement recommendations to improve customer service.
  • Supporting instructional services, such as distribution of program surveys to summer staff and students; collecting and analyzing survey results in collaboration with senior staff; preparing reports, collecting evaluations from instructors and distributing session evaluations for each participant, distributing course feedback to instructors, and supervising the day-to-day work of student and contingent workers who support both summer and academic year programs.
  • Coordinating instructor supply orders for online summer and academic year programs, soliciting and communicating supply needs to the Business Office and program participants; collaborating with the Business Office to ensure accurate and functional workflows and ordering.
  • Liaising with the Business Office to support summer residential programs and secure necessary resources in anticipation of executing residential and in-person programs. Support the residential team with supply inventory, logistical plans, transportation and replenishing of supplies, events and reservations, and provide input on process improvement.
  • Coordinating with the Business Office and Finance to submit honoraria for guest speakers; support residential staff purchasing, tracking expenditures and elevating concerns.
  • Drafting documents, correspondence and presentations, course handouts and reports; perform copy editing for instructional and marketing materials. Create, maintain, modify, and ensure accuracy of content and tone.
  • Other duties may include on call support during summer programs, in-person event planning and execution, and support for student accommodations needs.

To be successful in this position, you will bring:
  • Bachelor's degree and two years of relevant experience or combination of education, training, and relevant experience.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
  • Ability to establish effective and cooperative working relationships with students, instructors, staff, parents, guardians, colleagues, and the public
  • Commitment to anti-bias education and diversity, equity, and inclusion, access and belonging, approaching work duties through this lens.
  • Strong communication skills to clearly and effectively communicate information to internal and external audiences and management.
  • Knowledge of project management best practices.
  • Relevant computer systems/technology experience.

In addition, preferred requirements include:

  • Ability to take initiative and ownership of projects.
  • Understanding of financial transactions.
  • Experience working productively with individuals from a variety of backgrounds, and the ability to discern how marginalized populations may have differing needs.
  • Self-motivation, action-orientation, ability to work independently and cross-functionally and make sound decisions.
  • Experience working in an independent school setting, in a higher education setting or with the pre -college student population.
  • Ability to demonstrate tact and diplomacy when dealing with difficult issues and/or diverse organizations.
  • An ability to foster a cooperative work environment.

Working Conditions:
  • Routine extended working hours during peak cycles; travel to school/unit sites across university.
  • On-call rotation during program dates, committing to planned and unplanned after-hours and weekend work while summer programs are in session
