Position Summary

Reporting to the Director, Student Affairs (High School & Non-Degree Programs), the Associate Director will lead key areas of the Pre-College and Visiting Student portfolios in order to support the growth and scaling of summer and academic year programs. The Associate Director is responsible for improving operations in the areas of program communication, program planning, staff onboarding and training, and assessment. The Associate Director contributes to the overall management of the Internship in Building Community, supporting the onboarding and training of 140 seasonal interns and temporary staff. The Associate Director acts on behalf of the Director in their absence or at their delegation, ensuring the safety and well-being of the students of Columbia Universitys Pre-College and Visiting Student programs. Further, the Associate Director will aid the administrative team in building program support capacities, advising prospective and enrolled students as well as their parents, and representing the programs throughout the University.

Responsibilities

OPERATIONS MANAGEMENT & COMMUNICATIONS (25%)
  • Create annual operational calendars for each Pre-College and Visiting Students program in alignment with university dates and deadlines
  • Collaborate with the admissions office to determine critical student deadlines for completing enrollment steps for each admissions cycle
  • Liaise with campus stakeholders to determine future program dates and submit space requests for the next five years
  • Maintain software subscriptions (MailChimp, WePow, Trusted Translation, Canva, Formstack) and work with finance to procure additional subscriptions the HSP+NDG office may need
  • Communicates with and cultivates strong working relationships with the SPS Events Team, Finance, University Events Management, Instructional Support, SPS Creative and other departments as necessary in relation to all logistics of operating Columbia Summer Session
  • Produce a communication plan for each Pre-College and Visiting Student program that includes critical onboarding information, mid-program checkpoints, and off-boarding emails
  • Draft all outgoing program communications and work with the Student Services Office to pre-determine FAQs that may arise as a result of each email campaign
  • Design a parent facing newsletter that builds parent trust and value in the Immersion programs
  • Review the Pre-College website on a monthly basis and coordinate with the Assistant Director, Pre-College to make website updates, ensuring the site reflects accurate information

PROGRAM EVALUATION & DATA MANAGEMENT (15%)
  • Build and launch pre and post surveys for the High School Summer Immersion Program and the Academic Year Immersion Program
  • Collaborate with Assistant Directors and temporary staff to implement evaluations for all major events
  • Create programming dashboards that provide quick data on quantity of programs, student feedback ratings, and program attendance
  • Extract and analyze data from surveys, Slate, and SSOL to create post-program reports to be shared with senior administration and campus stakeholders
  • Co-author the Visiting Students survey and collaborate with the Assistant Director and program team to implement changes that will improve the Visiting Student experience
  • Respond to requests for data from all campus partners and senior administrators

STAFF RECRUITMENT, ONBOARDING & TRAINING (20%)
  • Collaborate with the Director of Student Affairs to draft and update job descriptions for temporary staff positions
  • Promote internship and seasonal employment opportunities internally at Columbia and externally among other universities, non-profit organizations, and professional development networks
  • Participate in the interview and selection process for all internship and temporary staff positions on the HSP+NDG team
  • Collaborate with Human Resources and the Assistant Director, Student Affairs to determine hiring and onboarding timelines for new staff
  • Coordinate the collection and processing of all hiring paperwork (offer letters, background checks, staff surveys, media releases, etc.)
  • Plan the training schedule for all seasonal (non-intern) staff, lead 25% of trainings, request trainings from other departments, book external trainers, and develop all training materials
  • Support the training and professional development of interns in the Internship in Building Community
  • Submit all onboarding tickets to CUIT to ensure account access and equipment is available to all new employees. Submit off-boarding tickets to close out accounts and return borrowed equipment

PROGRAMMING (20%)
  • Collaborate with academic program teams, SPS Events, and campus stakeholders to plan and implement orientation programs that provide information, connections, and environments that contribute to a welcoming culture, develop pathways to resources for student success, and create a sense of belonging for new students
  • Create an orientation course for Pre-College in Canvas and monitor student progress and completion of required modules
  • Coordinate a pre-orientation workshop series for parents and students enrolled in High School Summer Immersion to build excitement leading up to the program, minimize student melt, and provide more detailed information about the student experience
  • Create a post orientation FAQ document to share with participants prior to the first day of each program
  • Lead the coordination of events that are parent facing, including the Parent Reception for High School Summer Immersion; plan additional events to increase parent engagement and support parent events led by the admissions team
  • Contribute to the planning and execution of all major Pre-College programs, both online and on-campus
  • Collaborate with academic affairs and administration to plan and execute campus wide events for Columbia Summer Session

STUDENT CONDUCT & WELLNESS (10%)
  • Serve in an on-call duty rotation year round
  • Live on campus during duty nights while the High School Summer Immersion program is in session (approx 15 nights total per year)
  • Participate in CARE Team weekly meetings to troubleshoot students of concern
  • Serve as a hearing officer for conduct cases related to Pre-College
  • Outreach to parents to inform them of wellness and/or conduct related concerns for students in the Pre-College Programs

ACT ON BEHALF OF THE PROGRAM WHEN DELEGATED TO DO SO BY DIRECT SUPERVISOR (2.5%)

Minimum Qualifications
  • Bachelor's degree required; advanced degree desirable
  • 4 years related experience
  • A resume and cover letter with salary requirements must be submitted to be considered for the position

Preferred Qualifications
  • Masters degree preferred
  • Experience working with pre-college summer programs preferred
  • Experience working in University or Pre-College residential life preferred
  • Teaching or training experience preferred

Other Requirements
  • Excellent communication and interpersonal skills essential
  • Exceptional attention to detail and an ability to perform non-routine work, to work with changing priorities, to manage multiple projects simultaneously, and to work independently required
  • Familiarity with or willingness to learn Slate, CourseWorks, SIS and other systems, applications, and software used by the University and the School
  • Proven ability to work effectively within a collaborative team setting
  • Ability to handle confidential information in a mature, professional manner
  • Serves in an on-call capacity, year-round
  • Very significant evening and weekend work required
