Position Summary:

The Student Services Specialist 1 provides a full range of student services support, including assisting students in navigating college systems, data entry and student records management, and registration and eligibility. Facilitates new student orientation and maintains and updates student academic records. Administers assessments and progress testing and guides students through the enrollment process. Works with Division Teams to advise students in multiple areas of College programs and processes.

For more than 50 years, Pima’s Adult Basic Education for College and Career (ABECC) Division has served adult learners in Pima County with programming that helps adults to develop the academic and professional skills needed to prepare for and succeed in college and career. Programming has included Adult Basic Education, Adult Secondary Education, English Language Acquisition for Adults, Refugee Education, Rights and Responsibilities of Citizenship, Student Engagement, IBEST and Transition programming and services. Each year, 4,000 adults are served at college campuses, in community locations, at the Pima County Jail, and primarily at three large learning centers. In the past few years, ABECC has been recognized at both the state and national levels for innovation and excellence in adult education programming.

The work schedule for this position is flexible and may include working evenings and weekends.

Duties and Responsibilities:
  • Provides general information and assistance navigating ABECC and college systems to students and the general public in areas including but not limited to: admissions, registration, eligibility, new student orientation, TABE assessment, and GED testing
  • Guides and facilitates student admissions, program eligibility, and course selection and registration
  • Provides in-depth advising for new and returning ABECC students on the various class modalities and helps identify the programming options that meet students' needs for all ABECC programs
  • Provides support and training to students in the use of student portals and online student services
  • Assists in resolving routine problems for students, the public, staff, and faculty related to College student services and associated programs
  • Processes and maintains accurate and detailed student records and documents; prepares student records and associated correspondence; enters data and retrieves information from databases, verifying the completeness and accuracy of the information submitted
  • Prepares a variety of technical documents, which involves: collecting and verifying information; assembling, compiling and printing reports; proofreading and distributing reports
  • Maintains confidential records; updates and corrects discrepancies in student information system and other systems following prescribed guidelines
  • Supports new student orientation, provides program information and supports the development of digital literacy skills
  • Facilitates and supports outreach and enrollment events and student engagement activities
  • Administers tests to students with the ability to follow testing guidelines and handle technical difficulties
  • Performs other duties of a similar nature or level as required


Job Requirements:
  • High school diploma or GED required and
  • One year of experience in student/customer service

or
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job listed above

  • Implement state and federal guidelines, regulations and policies as required.
