Position Description:

The Assistant Director plays a critical strategic leadership role in the Recruitment & Admissions department, owning the full scope of the relationship (partnership management and admissions) for The Washington Center’s affiliated colleges and universities outside of the United States. In collaboration with the Executive Director, the person in this role will manage relationships with partners and institutions abroad, develop the strategies to meet TWC’s international application goals, and direct and conduct recruitment efforts to secure targeted applicant pools for both signature and customized programs.

The Assistant Director leverages in-depth knowledge related to each international partner, the scope of their programmatic needs, and TWC’s mission and goals, to help establish and guide strategy throughout regularly recurring cycles. They also leverage account data and partner feedback to guide the use of content and digital assets, as well as outcomes-based evidence, to articulate the value of TWC’s programs, proactively update partners, and match offerings to partner opportunities and needs. Additionally, they act as an internal advocate for students and partners and lead conversations with partners interested in developing relationships with TWC.

TWC is a majority remote organization: for most employees, employment with TWC will not be contingent on physical presence in an office space. However, there is a preference for the person in this role to be located in the D.C. region, if possible, to support regular student and partner visits to TWC and periodic partner events. Additionally, this position requires periodic travel, including travel outside of the United States, and occasional evening and weekend work events.

Essential Functions

Strategy & Operations
  • In collaboration with the Executive Director and marketing-focused colleagues, align international partner management with the existing Account-Based Marketing (ABM) strategic framework and oversee annual strategic planning process.
  • Monitor international admissions data, providing other team leaders with insights regarding aggregate applicant data, progress toward outreach goals, conversion and loss rates, and enrollment forecasts.
  • Support development of strategies for student-focused (B2C) and partner-focused (B2B) marketing and admissions, including inbound or outbound recruitment activities, lead generation campaigns, one-to-one applicant engagement and partner communications for the international audience.

Account Management
  • Manage a portfolio of college and university partners outside the United States and secure targeted enrollment/revenue for each of TWC’s programs and cycles. Conduct ongoing analysis of each relationship and creatively map TWC’s product offerings to the opportunities and needs of each institution. Ensure regular renewal of MOUs with partner institutions and governments.
  • Develop deep and collaborative partnerships with TWC’s campus liaisons and other critical stakeholders (as identified) on each partner campus.
  • Travel to partner institutions to meet in person with stakeholders and/or conduct recruitment activities, as aligned with strategic vision for each institution.
  • Work in tandem with J-1 visa specialist and colleagues in Employer Relations to ensure each applicant’s academic standing and professional interests make them eligible for a visa; ensure partner institutions understand visa timelines and requirements and act as liaison throughout the internship placement process.
  • Support cross-organizational projects, including the development of new programs or coordination of partner events, as they relate to institutions within the portfolio.
  • Coordinate with institutions within the assigned portfolio that choose to visit TWC facilities in Washington, D.C.

Admissions & Marketing
  • Oversee recruitment planning, strategy, operations and timelines, including maintenance of a recruitment calendar based on regional and programmatic needs
  • Collaborate with Communications and Marketing to develop and update promotional marketing materials for both B2B and B2C audiences, as well as marketing campaigns for prospective international students
  • Ensure TWC website content and policies that pertain to international students remain current and align with existing programmatic options
  • Develop strategies to convert recruitment leads into prospective applicants and work with Communications and Marketing to implement nurture campaigns
  • Manage external scholarship award processes for international participants and ensures that financial aid is distributing according to standing agreements

Staff Management
  • Directly supervise full-time staff members focused on admissions work, including day-to-day management and support, as well as training responsibilities. Identify opportunities for growth, professional development, etc.
  • Set annual goals in collaboration with direct reports and supervisor and conduct quarterly check-ins to ensure progress is met.
  • Establish expectations for customer service, relationship management, database integrity, recruitment practices and monitor performance.

Systems Management
  • Ensure all owned institutional data housed in CRM is accurate and regularly refreshed with updated details. Provide details about each partner institution’s academic programs, student population, TWC arrangements, eligibility for scholarship funding, and more, to support admissions and marketing efforts.
  • Maintain detailed records of planning, visits to campus, and partner conversations, ensuring all relevant details are accurately logged in the CRM and Asana.
  • Maintain departmental systems, particularly team-wide projects in Asana, Slack channels and SharePoint file system.

Required Education and Experience: An equivalent combination of education, training, and experience will be considered.
  • Bachelor’s degree
  • 3+ years of related experience
  • Experience managing relationships with essential partners
  • Spanish-language fluency (written and spoken)
  • Managerial experience is required

Preferred Education/Qualifications and Experience:
  • Alumnus/a of The Washington Center Academic Internship Program a plus
  • Significant experience with Salesforce, Hubspot or a similar CRM preferred
  • Experience working with Microsoft Office and Teams, Asana, and Slack
  • Experience with B2B or B2C marketing efforts
  • French-language fluency (written and spoken)

  • Ability and willingness to travel frequently (up to 25%) on a seasonal basis and work some weekend or evening events throughout the year
  • Valid driver’s license
