Job Description
Position Summary: This position provides support to the educational and treatment teams in order to meet the needs of leadership, staff and students. Duties for this position may include: scheduling IEP and progress update meetings; serving as a liaison and school representative to school districts, outside agencies, and families; managing on-line IEP and gradebook systems, including training staff; collaborating with the Director of Student Services, the Principal and Vice-Principal, and Special Education teachers to develop and track academic schedules and maintain and generate reports; assisting in making arrangements for standardized assessments and producing score reports; fulfilling requirements of educational files specific to special-education laws; and training and supervising temporary workers.
Essential Functions:
50% IEP Forecasting and Scheduling
20% Course Enrollment and Reporting
15% Coordinate Standardized Tests
15% Supplies Ordering and Reconciliation

Educational Requirements
Bachelor's degree required.
Work Experience and Other Requirements
Two years administrative office experience required; experience with special education and/or in a school setting strongly preferred. The candidate must be very organized and prompt in communicating with stakeholders; communicate effectively professionally in English, both orally and in writing, identify priorities; recognize and resolve or refer problems; work effectively with supervision and as part of a team; be able to effectively manage part-time student assistants; and use or learn a range of software applications, including Microsoft Word, Excel, and our school information system.
Mental Demands:
Reading documents, detailed work, problem-solving, language, stress, math, reasoning, oral communication, written communication, customer contact, multiple concurrent tasks, some interruptions; must be able to work with a diverse group of people.
Physical Demands
Attendance, bending at the waist, crouching, kneeling, lifting, carrying, pushing, pulling, reaching, twisting, writing, squatting, sitting (particularly for long periods of time), standing handling (holding, grasping, turning or otherwise working with the hand or hands), fingering (picking, pinching, or otherwise working with the fingers primarily), walking

Computer, calculator, telephone, copier.

Essential Functions:
50% IEP Forecasting and Scheduling
- Coordinate with school districts, families and school staff to schedule annual meetings, Progress Meetings and other IEP-related meetings to ensure that legal notice requirements are fulfilled and documented, oversee the approval and filing of IEPs and related paperwork.
- Train and assist school staff in the use of our electronic records system to complete IEPs and related documentation
- Construct and maintain a calendar of scheduled and upcoming IEP meetings for the benefit of teachers and administrators to assist in accommodating scheduled IEPs to other significant events on the school calendar
20% Course Enrollment and Reporting
- Assist with the development of student schedules in accordance with identified credit deficiencies and district and state requirements
- Maintain a transcript system that meets all requirements and that provides ongoing service to graduates of the school and their families as well as school districts and international agencies seeking such student information.
- Assist with monitoring and reporting student attendance across the school and communicate that information to staff to facilitate treatment follow up and intervention as indicated
15% Coordinate Standardized Tests
- Assist in the administration of standardized assessments and achievement tests, especially but not limited to working with College Board to apply for, document, and change students' accommodations for the PSAT and SAT; reconcile student records with IL State Board of Education (ISBE) rosters; assist with other assessments as needed.
- Obtain and distribute testing materials for proctors and teachers
- Obtain and communicate test results to school staff and families
- Maintain testing records
15% Supplies Ordering and Reconciliation
- Process supplies requests from staff and maintain departmental general supplies
- Produce monthly reconciliations of credit card statements for the Finance Office
