POSITION DESCRIPTION
The Division for Pre-College and Undergraduate Programs provides academic opportunities for undergraduates and pre-college students. Brown University's Pre-College Programs are a leader in the field of higher education institutions that provide rigorous academic opportunities to students, and experiential learning through on-site engagement and living and learning among peers from diverse backgrounds. Each summer, these Pre-College programs offer students over ten different programs from which to select over 300 non-credit courses that range in length from 1 to 6 weeks, as well as credit-bearing seven week courses learning alongside Brown undergraduates. The approximately 6000 pre-college students each summer hail from all 50 states in the U.S. and over 70 countries. The University's Summer and Winter Sessions offers undergraduate students seven-week and four-week intensive courses, respectively, that provide opportunity to extend their undergraduate study into the summer term, allowing them to focus on a single subject area, take courses that are typically full during the rest of the academic year, catch up on progress to a degree, improve academic standing, or explore new subjects of interest.
The Specialist reports to the Assistant Director of Admissions & Enrollment, and is a member of the Marketing and Enrollment Services team that supports students from initial point of contact through on-boarding and arrival to campus.
This position provides admission support for all Divisional programs, including non-credit and for-credit student populations. The Specialist will assist with functional support and skills to the Division's Admissions & Enrollment Services staff by ensuring that daily processes, data entry, and communications have been properly maintained and in a timely manner using Salesforce, TargetX, DocuSign, and Banner for a population of over 15,000 student records and applicants. Additionally, this role demands great attention to detail, the ability to make sound decisions, and serve as a consistent point of contact with the Program Advising team and any students, parents, and University staff when customer outreach is required.
The Specialist reviews incoming non-credit pre-college applications and makes decisions on the files, or requests additional information from applicants. The Specialist will ensure that outbound communications to all parents and students are clear and thorough and responded to in a timely manner. Additionally, this role demands great attention to detail, the ability to make sound decisions and serves as a consistent point of contact with the Program Advising team and students, parents, and University staff when customer outreach is required.
The Specialist also supports the Assistant Director of Admission & Enrollment Services with Sunday Check-in coordination which includes ordering of supplies, catering, staff scheduling, verifying check-in master data and other duties as assigned.
Major responsibilities include:
- Admission file reading and processing for pre-college non-credit programs within Salesforce CRM (40%)
- Monitor and reply to Enrollment Management specific email accounts, and open admission and enrollment tickets in Salesforce CRM (20%)
- Review and process forms for enrolling students (20%)
- Facilitate waitlist processing, monitoring, and offering spaces to interested students (10%)
- Daily course roster reconciliation (5%)
- Additional Marketing & Enrollment Services team support; Other duties as assigned (5%)
QUALIFICATIONS
Education & Experience
- Associate's Degree and 1-2 years of experience or equivalent of education and experience required.
- Experience working with Salesforce, TargetX, Banner or other student systems preferred.
- Experience working in an academic setting preferred.
- Experience with basic technology troubleshooting
