Job Description

 

The Study Abroad Advisor I is responsible for assisting with providing support services to students and faculty wanting to pursue high impact educational experiences outside the US. Assists office leadership in providing services to students and faculty in support of the office mission to offer a diverse range of international education opportunities.

 

This position is funded by a grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funding.

 

This position may pay more than the minimum proposed salary listed above, depending on experience and/or qualifications of the selected candidate.

 

Responsibilities

 

• Provides standard study abroad advising for students and faculty on various issues impacting international education opportunities, such as personal, fundraising, passport application, financial aid, academic, health insurance, and health care, travel, and cultural needs of students; conduct one on one study abroad advising sessions; facilitate weekly informational study abroad sessions.

 

• Prepares and distributes correspondence and program materials; assists with scheduling and planning meetings and a variety of programs and activities; creates and maintains files and databases; tracks and assembles programs data, prepare spreadsheets and Title III reports; assists with budgeting.

 

• Presents study abroad presentations virtually at New Student Orientation. Assists with advising administrative tasks related to the high international impact education opportunities, which include drafting correspondence/researching and preparing reports, creating program budgets, assisting with travel arrangements, handling various types of applications, and orienting and debriefing students and faculty.

 

• Manages the Study Abroad Office social media sites; create newsletters and flyers for study abroad. Sends out newsletters via email marketing software; plan and Host Study Abroad related events virtually and on-campus; serves as Advisor of International Student Association; hosts engaging and cultural programming for international student population.

 

• Manages Passport Fairs; support staff with managing the Terra Dotta Software; application used for managing and tracking study abroad applications. Makes travel arrangements, enters the activity director's purchases into FAMIS, and monitors to completion; completes receiving on invoices by entering information into FAMIS. Updates Title III reports. Assists with program-related research as directed; assists with special projects. Document Title III activities in an electronic portfolio.

 

• Perform other duties as assigned.

 

Required Education and Experience:

 

• Bachelor's degree or equivalent combination of education and experience.

 

• No prior experience required.

 

Required Knowledge, Skills, and Abilities:

 

• Knowledge of word processing, spreadsheet, and database applications.

 

• Knowledge of international, Federal, and System academic regulations and procedures. Knowledge of study abroad advising issues and cultural information about a broad range of countries.

 

• Ability to multitask and work cooperatively with others.

 

• Excellent verbal and written communication skills.

 

• Effective international communication skills.

 

• Strong interpersonal and organizational skills.

 

Special Requirements:

 

• Applicants with equivalent experience in lieu of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of four years of experience.

 

Preferred Qualifications.

 

• Some experience in program development, or academic or related services.

 

• Experience advising, working within an organization/office the setting, study abroad needs and issues, and international travel or residence; experience coordinating services in a multinational environment; and experience working with people of diverse cultural backgrounds, experiences, and ages.

 

• Experience with a database; computer networks, desktop publishing, spreadsheets, electronic mail, and word processing; PVAMU student records system.

 

• Knowledge of U.S. and international university programs, academic issues, and procedures; experience with academic advising at a college or university.

 

• Bilingual, good public speaking and editing skills.

 

• Ability to function as a team member and to be self-directed and motivated.
