Study Abroad Systems Administrator
Position Summary
The Systems Administrator in the Office for Education Abroad (EA) is responsible for oversight, maintenance, and ongoing quality improvement of EA systems, which requires close collaboration with all sub-units of the Office for Education Abroad, including the Programs Team, Marketing and Communications Team, and the Business Office. The Systems Administrator has primary responsibility for management of ViaTRM, the EA application system and database, and coordination of and communication related to technical integrations between EA and systems throughout campus. Duties will include the development of related policies and procedures, provision of training sessions, as well as occasional data collection, analysis, and reporting. Additionally, the Systems Administrator provides first steps advising services to prospective education abroad participants in the Education Abroad Advising Center and virtually as part of a larger student advising team and provides support to the Marketing and Communications team as needed.
Core Duties & Responsibilities (90%)
Education Abroad Portal and Database Management (45%)
- Supervise all aspects of maintaining, troubleshooting, and enhancing the utilization of the EA enrollment management system, including data integrity and security, system integration with system usage and access administration, and the online application process
- In collaboration with sub-units in EA, develop, monitor, evaluate, and refine all systems, processes, policies, and procedures related to student enrollment, from first contact through program participation and return
Marketing and Communications (15%)
- Provide support to the Marketing and Communications Team for education abroad communication, promotion, and outreach; this may include in-person and virtual events, and assistance with some aspects of digital and print material production
- Support the goals of the Marketing and Communications Strategy
Student Services & Advising (15%)
- Provide introductory advising to prospective education abroad participants as part of a larger student advising team, in-person and virtually, in one-on-one sessions and group information sessions
- Assist with the implementation of student peer advising programs
Office Leadership & Management (15%)
- Provide continuous review and improvement of systems for efficiency and accuracy
- Assist the executive director with strategic planning and initiatives, budgetary oversight, personnel recruitment and training, reporting requirements, and adherence to University policies and protocols
- Assist the executive director with campus-level advocacy for international education, which may require benchmarking research, data collection and analysis, campus presentations, serving on campus-wide committees, attending strategic meetings, etc.
- Provide leadership in ensuring smooth communication flow of leadership decisions to internal and external constituents and cross-functional workflow within the unit
- Engage in a continuous review of office utilization of technology
- Attend and contribute to meetings of the Advisory Council for Education Abroad advisory committee
Additional Functions (10%)
- Contribute to the profession of education abroad, which may include attending regional, national and international conferences each year as necessary/appropriate/fiscally feasible, leading or participating in faculty and staff site visits, serving on advisory boards or committees of external organizations relevant to education abroad and/or higher education
- Contribute to the field of education abroad, which may include producing scholarly publications, conducting outcomes assessment research, etc.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a master's degree in international studies, foreign language, area studies, communication, higher education administration or a related field; three to five years of related and progressively more responsible or expansive work experience in program administration; experience with technical systems related to educational advising, application, and enrollment; international education experience, familiarity with intercultural learning, experience working with faculty or an equivalent combination of education and experience.

- Robust commitment to diversity, equity, and inclusion
- Proven skills in outcomes assessment related to education abroad, familiarity with varied countries and cultures, proficiency in languages other than English, knowledge of enrollment management software, knowledge of higher education marketing and recruitment practices
- Experience living, working, or studying abroad or experience with domestic study away
