Position Information

Under general supervision and defined guidelines from the Department Student Services Advisor 3 (SSA 3) and in close consultation with the Department Graduate Student Advisor for Admissions and the Undergraduate Student Advisor, the incumbent is responsible for the coordination and administration of various aspects of the Electrical and Computer Engineering (ECE) academic program with special focus on the graduate program and graduate program admissions to provide advising and administrative support to the faculty, staff, and students of a large dynamic, diverse and complex teaching and research environment. The incumbent also interfaces with the BCOE Student Affairs Office to facilitate and support undergraduate education program objectives, course changes, scheduling, and affiliated programs and areas where ECE faculty possess specialized knowledge, e.g., electrical and computer engineering, etc. The major functional areas include (1) Outreach, Recruitment, and Admissions; (2) Student Advising; (3) Graduate Student Employment; (4) Program Management and Development: and (5) Special Projects and Events. The incumbent may conduct curriculum advisement, assessment, and matriculation of prospective and current students on academic matters. Researches and performs student counseling regarding the University's admission requirements, available curricular and educational programs, housing, scholarships, and financial aid. Under the direction of the SSA 3, develops and maintains a comprehensive database to accurately track, analyze, retrieve and report applicant and student information in order to assess the department's demographic, financial support, academic productivity, and performance. The database is used as the basis to plan for future programmatic activity and cohort management and serves as a repository for historical program activity. The incumbent manages the admissions process providing all materials and support to the graduate committee. Administers course offerings, course scheduling, and course/catalog/curriculum changes. With direction from the Department SSA 3 and Grad Advisor, the incumbent manages all aspects of graduate student employment and financial support (e.g., Academic Student Employees, Graduate Student Researchers, fellowships, etc.) and develops and monitors multi-year financial support packages. The incumbent represents the department at meetings, conferences, and events and executes departmental events (e.g., colloquium, orientation, student outreach sessions, workshops, special events, etc.). The incumbent organizes recruitment including student recruitment visits and may administer and proctor departmental exams. Develops, presents, and coordinates content and material for marketing and recruitment efforts (e.g. flyers, brochures, posters, mailers, social media, etc.) and administers the department's website and social media. Analyzes statistics and performs research to assist the department with accreditation and assessment (internal and external) reviews, (e.g. ABET, BCOE Five Year Plan, Graduate program review, alumni exit surveys, WASC, NIH survey, and ad hoc data requests from Labor Relations, BCOE Dean's Office, Office of Research and Economic Development, etc.). and prepares statistical data on student population, demographics, metrics, etc. for applicants and continuing students.

Degree Requirement Bachelor's degree in related area and/or equivalent experience/training. Required

Experience

Experience Requirement 2 - 4 years of related experience. Required Knowledge of University of California policies and procedures governing graduate student admissions, acceptable academic progress, student records, FERPA, student employment and student financial aid. Knowledge of policies and procedures established by administrative and service units outside the Bourns College of Engineering (BCOE), such as, Graduate Division, Registrar, ABET and Academic Senate, etc. Preferred Experience interacting an communicating effectively in group settings and one-on-one counseling/advising sessions with students. Ability to maintain cooperative working relationships utilizing active listening skills and able to balance empathy with institutional standards. Able to advocate solutions with campus administration in which no clear policy exists or where special exceptions may be required. Preferred Experience with all aspects of graduate student financial support including Academic Student Employees, Graduate Student Researchers, fellowships etc. Experience scheduling classes, assigning Teaching Assistants (TAs) and managing teaching schedules. Preferred Experience with outreach and graduate recruitment including developing and presenting content and material for marketing and recruitment efforts. Preferred Demonstrated experience managing events. Required Skill and competency using campus applications and programs such as, GradSIS, GradESS, Banner, Banner-Cognos, SDQS, Degree Works, Student Profile, CIRS, SIS+ and CRS, etc. Preferred Demonstrated experience working in an academic and research environment with graduate programs and post-secondary degree granting institutions; experience supporting a graduate program in a culturally diverse university environment Required

Minimum Requirements

Excellent verbal and written communication skills and possess superb attention to detail and focus. Ability to interact with students, faculty, professional staff, campus administrators, community members and various campus departments and maintain cooperative working relationships.

Interpersonal skills.

Skill working in a Windows PC environment and the MS Office Suite of application programs, e.g., Microsoft Word, Excel, PowerPoint, etc.

Ability to work with sensitive issues and maintain strict confidentiality at all times.

Demonstrated ability to work effectively in group settings; in one-on-one advising; and independently.

Excellent organization and prioritization skills with ability to maintain attention to detail. Ability to meet deadlines in a dynamic environment with frequent interruptions; ability to multi-task and handle multiple responsibilities and projects simultaneously, which may have conflicting deadlines.

Knowledge of advising and counseling techniques.

Ability to multi-task; verbal and written communication skills.

Basic knowledge of student immigration and visa processes pertaining to international students and scholars.

Multicultural competencies; ability to work with diverse populations.

Skills in service orientation, organization, active listening, and critical thinking.

Ability in problem identification and reasoning.

Preferred Qualifications
