Purpose

The Program Coordinator is a member of the Global Customized Program team tasked to develop and deliver campus programming and assigned contracted custom programs.  The incumbent is responsible for providing support to the development and implementation of grant funded programs. 

Responsibilities

Program Coordination and Support

  • Coordinate assigned program logistics of grant and contracted programs, either independently or in collaboration with program leads, including but not limited to housing, meeting and event venues, caterers, transportation providers, etc.; maintain and cultivate vendor relationships; track and maintain event expenses and budgets; support development of associated contracts in accordance with established UT and Texas Global policy. 
  • Coordinate global engagement programs on campus for the benefit of UT Austin students including programs such as International Education Week, Global Professional Training, or other programs as assigned. 
  • Execute and attend assigned program components (e.g. cultural activities, community service, site visits), overseeing logistics and ensuring that events run smoothly from start to finish. 
  • Develop and support virtual/hybrid programming as needed. 
  • Develop/contribute to the production of program reports, materials, and content.  
  • Prepare feedback surveys, as needed. 

Participant Support

  • Support program participants in effectively handling their day-to-day experience as well as sensitive or emergency issues that may arise. Advise on topics including but not limited to housing, academics, personal, cultural, and social concerns.   
  • Provide support to participants, as assigned, to attend to acute situations that need individualized attention. 

Procurement & Expenditure Tracking

  • Manage assigned custom program budgets and track expenditures ensuring that procurements are complaint with internal processes and within the available budget.  
  • Assist with financial aspects of program arrangements, including per diem requests and receipts, vendor payments, and invoices, ensuring that all financial transactions are executed in compliance with accounting and procurement procedures and requirements. 
  • Promptly submit bills for payment, reconcile monthly credit card statements, and process travel expense reimbursements and vendor payments.  
  • Support the accurate reconciliation of program expenses each month, as needed. 

Assessment

  • Support the development and deployment of survey instruments to meet grant requirements and assess participants’ experience of their program. 
  • Analyze survey results and prepare reports to make data-driven decision for future program design and implementation. 

Data Management

  • Compile and track participant and program contributor information, supporting data collection across all programs. 
  • Ensure consistency and accuracy of data in administrative database including, but not limited to, creation of new records, timely updates of data, and note-taking. 

Collaboration & Training

  • Participate in the development and growth of team expertise in sharing best practices of program development and implementation.  Work collaboratively to develop efficiencies and shared resources. 
  • Assist with the training and onboarding of new and current staff on organizational and administrative processes and TXG programs. 
  • Supervise student employees, and volunteers, formally and informally, as assigned. 

Required Qualifications

Bachelor's degree and three years of relevant experience or a Master’s degree and one year of relevant experience.  Experience developing or administering programs or projects and working well in a team-environment.  Effective problem-solving skills and decision-making skills; results-oriented; strong organizational abilities; the ability to manage multiple priorities and effectively prioritize; a customer focus which includes students, faculty, staff and external partners; composure in stressful situations; and strong interpersonal and communication skills. Experience working with diverse groups and with college students or similar populations.  Equivalent combination of relevant education and experience may be substituted as appropriate. 

Preferred Qualifications

Academic degree in international education or a relevant discipline. More than the required years of above experience, especially in an international setting. Experience living, studying, or working abroad. 

Salary Range

$46,000+ depending on qualifications
