Admissions Coordinator

The Admissions Office, BSPH Student Affairs is seeking an Admissions Coordinator.

Specific Duties & Responsibilities
  • Process Applications.
  • Process Applications including for several departments, certificates, and post-doctoral fellows.
  • Check-in, process and review submitted applications in SOPHAS and SOPHAS Express (Common Application for School and Programs of Public Health) for completeness, based on policies and requirements for a number of programs and departments.
  • Follow-up with departments and applicants about incomplete or missing application items.
  • Responsible for completing applications by stated deadlines.
  • Review transcripts and credential evaluations for equivalency.
  • Provide preliminary advising/screening of international applicants, including the examination and evaluation of foreign credential evaluations from outside credentialing agency.

Communications
  • Provide information and advise prospective students (phone, in-person and through email) regarding related sets of admissions requirements for degree and non-degree offerings at Johns Hopkins Bloomberg School of Public Health.
  • Articulate relation of graduate study to career outcomes based on familiarity with the educational structure and career opportunities for a variety of disciplines.
  • Communicate with prospective students, faculty admissions committee members, academic coordinators, and staff supporting admissions committees.

Record Maintenance
  • Responsible for file transfer to OnBase at the end of each term. Includes creation of files for upload, actual upload and reconciliation reports at the end of term to confirm all documents have been received.
  • Primary back up for general admissions account during peak season.
  • Facilitate record retention policy.

Reporting
  • Assist departments and other administrative units with regular reports on applicants for their program.

Other Duties
  • Participate in school wide recruitment events, including occasional student tours.
  • Review and revise relevant sections of the department manual. Recommend updates to the schools Policy Procedure Memorandums (PPMs) as they relate to admissions requirements, policies and procedures.
  • Assist with processing and policy strategies in regard to processing of applications.
  • Address issues or infractions related to policy or legal requirements when determining applicant status, balancing faculty requests with other constraints, etc.

Special Knowledge, Skills & Abilities
  • Customer service-oriented individual with outstanding written and oral communication skills.
  • Must have excellent interpersonal skills to work with a diverse socio-economic, national, and international applicant pool.
  • Knowledge of international student perspectives and needs.
  • Overtime during peak application season will be required.
  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
  • Experience with SIS, Slate, WebAdMIT is a plus.

Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Four years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Bachelors Degree preferred.

Starting Salary Range: $20.40-$28.00-$35.70 HRLY (Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
