Position Summary

The Associate Director of Admission will lead a team of admission staff in order to efficiently and effectively manage the interview, admission and scholarship process. Reporting to the Assistant Dean & Director of Admission, the Associate Director of Admission, provides direct supervision, direction, guidance and counsel to the Graduate Programs Admission staff. This position will regularly support, strategically plan and collaborate with the Associate Dean & Director of Admission; develop, train and maintain quality staff; enhance and maintain effective communication and relationships within the School, Washington University and professional organizations. Provide accountability to identify, track, and qualify applications along with awarding scholarship for Olin Graduate Business Programs. Develop and implement strategies to manage information required for the successful operation of Graduate Program's Office Admission including monitoring quality control of applications and scholarship awarding processes.

Primary Duties & Responsibilities

General Responsibilities
  • Supervises the File Review Team. Provides guidance, support, and coaching as needed to develop a strong team that meets strategic priorities.
  • Maintains a thorough working knowledge of all Olin Graduate Degree Programs and all internal and external policies, procedures, and requirements.
  • Initiates and maintains strategic relationships with other departments in the Olin Graduate Programs office, across other units in Olin, and across WUSTL to include Student Services, and IT.
  • Serves as the primary conduit of information from university personnel, faculty and staff on admission issues that impact the Assistant Dean and Director.
  • Interprets and applies admission guidelines, rules, regulations, policies and procedures set forth by the university or other governing agencies. Regular and consistent communication with Associate Director of Reporting and Associate Director of Recruitment.
  • Prepares and updates internal admissions manuals and process documents as needed.
  • Participates in staff meetings and serves on committees as directed.
  • Undertakes all assignments and duties at the request and under the direction of the Assistant Dean & Director of Enrollment.

Reporting Responsibilities
  • Develops and maintains procedures for tracking students' progress in the application/admissions process for all graduate business degree programs through Application and CRM systems.
  • Collaborate with Associate Director of Reporting to compose and distribute weekly internal admission reports detailing application trends on all programs.
  • Provides training and technical direction to Admission Recruiters on troubleshooting missing applicant documentation and research issues with internal and external stakeholders when necessary.
  • Leads admission & scholarship committee. Tracks unique populations and admission status including refused, forfeit, accepted offers, overdue deposits, and withdrawals. Will also track scholarship spending and private donor matching awarding process.
  • Communicates with internal stakeholders on status of application totals and decisions, elements of diversity and scholarship awards.
  • Close fiscal year end app fee or GMAC waiver reconciliation with GMAC and/or Olin Accounting for programs as needed.
  • Identifies new areas to research and look at existing data that will help develop better business processes.
  • Monitors web pages, making recommendations for regular updates and improvements.

Admission Responsibilities
  • Oversees the review and execution of all admission decisions and official notification (letters) for Olin Graduate Program applicants including admit, deny, waitlist, refer and defer admission decisions to cross-sell graduate programs effectively; works with Associate Director of Recruitment to advise the recruitment staff on re-application protocol and works with Student Services on leave of absence and re-applicants.
  • Leads efforts in providing training and review of applications, to determine admission, to the Olin Graduate Programs based on criteria established by this position, the Assistant Dean & Director, Faculty Chairs and Associate Dean and Director.
  • Provides supervision and technical direction to all Admissions staff on the evaluation and analysis of application components and manages the processing team that works to execute incomplete application checks and validate application components including undergraduate and graduate academic transcripts, GMAT/GRE scores, writing samples, letters of recommendation, addendums, interviews and resumes.
  • Evaluates and executes on recommended application and/or deposit waivers/reduction requests from the recruitment staff.
  • Provides subject matter expertise to all international and domestic Partner Programs regarding admission.
  • Responsible for the recommendation of scholarship awards and entry of all scholarship dollars and letters.

Computer Operating and Systems Responsibilities
  • Establishes and maintains facility with computer operating systems pertaining to prospective student inquiries, admissions, and financial aid for purposes of efficient and concise record keeping and generation of communication and reports.
  • Establishes expertise in customer relationship management (CRM), Application and other computer operating systems.
  • Measures application trends using appropriate reports and systems; coordinates the creation and maintenance of reports.
  • Identifies new areas to research and look at existing data that will help develop better business processes.

Performs other duties as assigned.

Working Conditions
  • Travel to conferences and events as needed.
  • Availability for some evening/weekend activities.

Preferred Qualifications
  • MBA degree and Business education.
  • Two years of higher education admission and reporting experience and robust exposure to transcript evaluation and assessment.
  • Employs effective verbal and written communication, provides a high level of customer service, and establishes self as a resource for the Graduate Business Admissions team.
  • Demonstrates ethical decision-making, cultural competency, responsible management through all actions and communications.
  • Employs strategic thinking skills to effectively execute against defined strategies in conducting successful recruiting and admission of all Graduate Business Programs.
  • Execute numerous initiatives concurrently with the ability to interact and communicate with multiple layers using strong business acumen.
  • Demonstrated interpersonal and communication skills.
  • Strong quantitative, analytical and reporting skills.
  • Ability to manage multiple database systems.

Required Qualifications

Bachelor's degree required and five years of related experience.

Salary Range

$55,600.00 - $94,900.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
