Responsibilities

Reporting to the Director of the Center for International Programs, the Assistant Director of StudyAbroad (ADSA) serves as the primary advisor and application manager for all semester, academic year, and faculty-led study abroad programs offered at Saint Mary's College of California. The ADSA develops and implements programming to advertise study abroad across campus as well as to provide support for study abroad students and alumni. The ADSA also works closely with administrators and faculty to facilitate study abroad programs and ensure the successful transfer of credits from partner institutions and third-party providers. The ADSA is charged with overseeing the corresponding institutional scholarships for study abroad students and ensuring they are awarded. In collaboration with the Director of the Center for International Programs, the ADSA is responsible for the evaluation and addition of new study abroad initiatives to increase the amount of international education opportunities offered at Saint Mary's. The ADSA manages the Study Abroad Coordinatorand provides training and professional development in the study abroad field. When needed, theADSA provides support to the international and exchange student population that the Center for International Programs serves.
  • Study Abroad Advising & Mentorship
    • Provide program expertise to all study abroad applicants to determine potential study abroad locations and coursework based on the student's academic evaluation, remaining coursework, major or minor, and desired location.
    • Advise students on application requirements and timeline; follow up with students to ensure all application requirements are complete and submitted.Assist students in completing partner institution's application.
    • Assist students with securing housing while abroad and to complete partner institution housing applications; guide students on applying for on campus housing when returning from abroad.
    • Plan and host visa application workshops to guide students through the visa application process of obtaining a student visa to study abroad.
    • Lead Study Abroad Pre-Departure Orientation with the purpose of preparing and educating students on health and safety abroad, cultural adjustment and homesickness, visa requirements, housing, and course registration at our partner institutions. Facilitate community and comradary among students who are studying abroad, especially those going to the same location.
    • Regularly communicate and check in with students while abroad to ensure that they have enrolled in the proper coursework, submitted all required documentation regarding their class schedule, and to provide support as needed to ensure their personal and academic success.
    • Develop, plan and lead re-entry sessions for students returning from abroad to facilitate reflection, conversation, and further learning, and to address reverse culture shock.
    • Develop, plan and lead study abroad information sessions for parents and families of students who have been accepted to study abroad to discuss health and safety abroad, finances, housing, visa applications, and personal and academic success of their student while abroad.
    • Develop and maintain an active Study Abroad Peer Mentor Program to engage study abroad alumni with the Center for International Programs and the campus community to further promote study abroad opportunities and to represent the CIP at campus-wide events.
  • Marketing & Enrollment Strategist
    • Develop, plan and host Study Abroad Information Sessions to advertise SMC's various study abroad and faculty-led programs to students.
    • Organize and plan one Study Abroad Fair per semester that includes study abroad partner institutions, third-party program providers, faculty-led programs, and non-SMC opportunities for students to study abroad.
    • Develop and maintain partnerships with departments across campus to present and advertise study abroad opportunities at campus-wide events such as New Student Orientation, Transfer Tuesdays, Parent's Weekend, various Admissions-related and career-related events as well as to special student populations like FYACs, TACs, and High Potential.
    • Update and maintain the study abroad section of the SMC website as well as the program pages in Terra Dotta to ensure accuracy of information, transparency of policies, access to information, and resources for students, staff and faculty.
  • Application & Scholarship Management
    • Manage all study abroad and Jan Term applications in Terra Dotta; evaluate and implement ways to make the application process more efficient for students, staff and faculty.
    • Lead the study abroad application review process by creating a small committee of staff to evaluate applications based on academic performance, merit, and readiness to live and learn abroad.
    • Oversee the Study Abroad Scholarship and Jan Term Travel application and application review process along with a committee of staff to evaluate applications based on financial merit; work with the Financial Aid andBusiness Offices to ensure that scholarships are awarded to recipients' accounts.
  • Leadership & Partnership
    • Develop and maintain a good rapport with the Registrar's Office,Business Office, Financial Aid, Department Chairs, Dean of the CORE, and the Director of Jan Term to facilitate study abroad and faculty-led programming for students.
    • Act as a member of the Travel Risk Assessment Committee (TRAC) to ensure study abroad and faculty-led travel destinations are safe locations for students and faculty.
    • Along with the Direct of the Center for International Programs, manage and maintain relationships with partner institutions and third-party program providers.
    • Along with the Director of the Center for International Programs, identify and create new study abroad and/or exchange partnerships to diversify and add value to the existing program offerings.
  • Immgration Support
    • Act as the Designated School Official (DSO) and Alternate Responsible Officer (ARO) for international and exchange students sponsored on SMC's F-1 and J-1 visa program.
    • Assist the Director of the Center for International Programs withInternational Student Orientation and Exchange Student Orientation
  • Management of Study Abroad Coordinator & Study Abroad Peer Mentor
    • Manage the Study Abroad Coordinator including providing institutional onboarding, training, professional development, best practices in the field ofeducation abroad, and departmental and external resources.
    • Recruit, train, and supervise study abroad peer mentors
