Director of Admissions and Enrollment Operations

Reporting to the Assistant Dean of Enrollment and Academic Operations in the Education Programs Services Office (EPSO) in WSE Office of Graduate Education and Lifelong Learning (GELL), we are seeking a Director of Admissions and Enrollment Operations who is charged with leading and supporting the ongoing development and improvement of admission and enrollment operations and services in the Whiting School of Engineering for the residential master's and doctoral programs (Homewood campus, Baltimore, MD), and the pre-collegiate (K-12) online and on-site programs.

The director will lead a team of admissions professionals and oversee the office's operations, policies, and systems: including business processes, data strategy and reporting in partnership with institutional research and leadership, functional and systems-related technology, document management, related trainings for partners and academic programs, and application processing. The director will constantly evaluate and monitor systems, processes, functions, workflows, and staff assignments, and will create and implement strategies to maximize admissions and enrollment efficiencies and effectiveness to meet the evolving needs and strategic initiatives of the Whiting School.

Specific Duties & Responsibilities

Application & Enrollment Operations
  • Oversees the processing of approximately 12,000 admissions applications and nearly 1,500 enrollments annually, including many international students, for WSE full-time, residential doctoral and master's degree programs, and summer pre-collegiate programs.
  • Effectively administer and oversee development of Slate as a CRM tool and the overall cultivation of prospective students from the point of application through pre-matriculation enrollment.
  • Refine and oversee the facilitation of pre-collegiate pre-matriculation enrollment processes.
  • Direct the development of a comprehensive and operational admissions plan to meet enrollment goals.
  • Lead the maintenance and enhancement of the WSE graduate and summer pre-collegiate online application platforms and interfaces.
  • Oversee the efficient processing of admission applications by developing and administering policies, procedures, and systems that provide quality admission services for prospective students.
  • Establish relationships with campus partners to drive enrollment in graduate and pre-collegiate programs; Leads efforts to work effectively and proactively with academic chairs, deans and directors, and the offices of marketing, recruitment, lead nurturing, financial aid, and the registrar.
  • Lead collaboration with Marketing & Communications Office and Office of Lead Nurturing to develop appropriate web and print materials, scripts for nurturing, and correspondences for recruitment, lead nurturing, and application purposes.
  • Responsible for all official communications with applicants and families (as appropriate).
  • Foster a strong working relationship with the Office of Financial Aid to further improve the communication with prospective students regarding costs and financial aid; and to administer the financial needs assessment tool for all residential graduate student applicants in each admission cycle.
  • Collaborate with the Johns Hopkins University Homewood Registrar's Office to support admission and registration priorities, advocating for the Whiting School's priorities.
  • Collaborate with academic departments to ensure program success by understanding their needs, admissions requirements and enrollment goals.
  • Oversee the development and training of program coordinators (department's academic staff) and faculty admissions committees in areas related to admissions operations, including, but not limited to, admissions process implementation, policies, and new technologies.
  • Participate in initiatives to enhance diversity among the student body, providing an equitable and welcoming environment through the admissions and pre-matriculation enrollment experience.
  • Manages budget and financial administration for the office.
  • Support the Office of Student Affairs in mounting orientations for new students and learners.

Data Tracking & Technology Advancement
  • Partner with the Director of Institutional Research to develop processes that collect and analyze enrollment data to improve decision-making; develop strategies that will support enrollment goals and guide strategic initiatives.
  • Oversee the analysis of enrollment data, admission metrics, and applicant feedback to enhance and improve processes.
  • Lead the development and maintenance of processes needed to organize, streamline and collect admissions and enrollment data.
  • In coordination with the University Information Services, provide leadership and direction in the development and expansion of technology, data analytics and data visualization to support data-driven decision making.
  • Strategize and implement technologies to increase outreach and enhance admissions services with prospective students.
  • Maintain knowledge of current trends in technology/software relevant to higher education admissions and enrollment and provide suggestions and feedback on decisions to implement new uses of technology.
  • Collaborate with IT and Institutional Research to conduct end-of-term data audits and reconciliation.
  • Participate in a University wide work group that involves the Slate (or successor systems) implementation and on-going support.
  • Participate in information systems planning, project management, service excellence, and coordination with student information systems.

Staff Development & Performance Management
  • Supervise and lead the admissions team (currently 3-5 FTE), providing direction, training, conflict resolution, and professional development opportunities.
  • Manage staff development, performance reviews, s, and employee administration for all direct reports.
  • Provide ongoing feedback and constructive criticism.
  • Foster a culture of collaboration, professionalism, and positivity among the admissions team.
  • Conduct interviews and make recommendations for hire.
  • Promote and model a culture of exceptional customer service.

Special Knowledge, Skills & Abilities
  • Demonstrated leadership experience, including managing a team.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels of the organization.
  • Excellent written and oral communication skills.
  • Ability to analyze data and market trends to inform decision-making.
  • Experience with admissions software and other relevant technology.

Minimum Qualifications
  • Bachelor's Degree.
  • Five years related experience.
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Master's Degree.
  • Three years of supervisory experience.
  • Experience in graduate admissions.

Technical Qualifications or Specialized Certifications
  • Proficiency in MS Office applications; familiarity with Slate software platform and databases preferred.

Starting Salary Range: Min $72,940 - Max $127,820 Annually ($95,000 budgeted; Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
