Reporting to the Director of Undergraduate Admissions and Advising, the Advising Coordinator will assist the Director in developing and executing ongoing and new programs and activities related to undergraduate education, with a strong focus on student advising. The Advising Coordinator will be part of a team supporting student success, focusing on undergraduate education and enrichment.

Job Description

Job Responsibilities

Academic advising
  • Serve as academic advisor for undergraduate students as part of the advising team for both virtual and in-person advising sessions
  • Work with students on a case-by-case basis to provide enhanced support toward academic success and co-curricular development
  • Serve as a wellness liaison to partner departments (e.g., MSE and ESE)

Student affairs & programming
  • Lead, strengthen, and coordinate programs related to various advising team-led initiatives and special programs, with a focus on NSO/RE-Orientation and Clark Scholars. Logistics involved may include interacting with vendors, identifying and inviting guest speakers, and providing general event coordination
  • Maintain summer communications with incoming students
  • Create a vision for Sophomore Experience; implement programs related to their academic and co-curricular success
  • Support the Director of UG Admissions & Advising in admissions-related initiatives

System updates
  • Regularly maintain and update various student information systems, including but not limited to Advising@Penn, while working with the Registrar and Academic Services team to maintain robust academic documentation
  • Assist with routine student records activities such as audits, separation actions (leaves/returns), and compiling reports for case management
  • Provide timely reports to central offices when student information system errors or inconsistencies are identified
  • Support the continuous improvement of internal processes, technologies, and tools to streamline workflows

Policies & procedures
  • Attend weekly Petitions Committee and provide relevant and timely information to the Academic Performance Committee each semester
  • Provide timely updates to the advising team when policy decisions or gaps are impacting students
  • Support the undergraduate educational mission by benchmarking best practices in peer and aspirational institutions to provide recommendations to the advising team

Outreach & leadership
  • Participate in school-wide events: including but not limited to Quaker Days, School and University Commencements, Pre-Orientations, New Student Orientations, and other activities with campus partners as needed
  • Contribute to building a sense of community with department colleagues and other committees or units around campus

  • Bachelor's degree and a minimum of three years of experience in higher education working directly with undergraduate students or an equivalent combination of education and experience. A Master's Degree in higher education, student affairs administration, or a related field is preferred.
  • Demonstrated experience with academic advising and implementing programmatic activities
  • Experience using problem-solving skills to identify and document student academic needs patterns; and demonstrated ability to successfully develop strategies and programs to meet those needs
  • Demonstrated understanding of the intersectional needs and concerns of diverse student populations in STEM
  • Familiarity with campus resources to support undergraduate student well-being and enrichment
  • Proficient with Google Workspace, MS Office 365, and able to adapt to new tools and technologies
  • Demonstrated organizational and planning skills to set work priorities under the pressure of deadlines
  • Demonstrated record of personal and professional initiative, flexibility, and careful judgment.
  • High attention to detail and confidentiality
  • Excellent oral and written communication skills
  • Ability to work independently and as a team member.
  • Understanding of academic benchmarking practices is preferred

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
