Job Description Summary

The Admission Coordinator is a full-time position that reports to the Director of Admission and Financial Aid and works with the Associate and Assistant Directors of Admission in achieving the goals and objectives of the department. It is essential that the person in this position maintains a well-developed understanding of the admission and financial aid functions in relationship to the school's mission and community while demonstrating the ability to effectively and accurately communicate this knowledge to current and prospective families.

This position requires a highly motivated, organized, detail-oriented individual possessing excellent interpersonal communication skills who can process confidential information in a professional, discrete manner. This person must be a team player who embraces collaboration with the admission staff. It is essential that this individual can successfully initiate and follow through consistently with a variety of time-sensitive responsibilities and tasks. Experience working in or attending an independent school is ideal.

Core Responsibilities

• Process application materials and input database information

• Plan and execute both on-campus admission events, including open houses, campus tours, admitted/new family receptions, applicant visit days, student interviews, parent information sessions, etc.

• Present Overlake’s application process to prospective students and parents, which includes systematic and efficient handling of applications, communications with applicants and their parents, scheduling, support with admissions testing, securing necessary student paperwork, and maintaining admission records

• Assist in scheduling appointments and help manage office schedules

• Oversee Admissions Office logistics including ordering office supplies and materials

• Respond to inquiries from various constituencies, including phone calls and emails

• Support Admissions Office with management of application files in Ravenna

• Assist with the Student Ambassador and Parent Ambassador programs as requested

Other Responsibilities

• Proofread and distribute materials such as agendas and minutes

• Manage general admission email inbox, ensuring communications reach the necessary department

• Attend events as required, including occasional evening and weekend

• Other projects and duties as assigned by the Director of Admissions and Financial Aid

Salary - $50,000 - $65,000

Minimum Qualifications

• Bachelor’s degree required

• Excellent verbal and written communication skills

• Excellent interpersonal skills, high level of professionalism and discretion

• A team player with customer service orientation who possesses the ability to take initiative and follow through

• Personal and professional commitment to diversity, equity, and inclusion and interest in creating an inclusive admissions experience for families

• Experience with independent schools preferred, either as an employee or student

• Ability to manage multiple projects and priorities while meeting deadlines

• Comfort and proficiency with technology and databases

• Successful completion of required background checks

• Vaccination for Covid-19 highly recommended
