The primary purpose of the Administrative Specialist is to coordinate USF Health students, faculty and staff travel abroad as well as provide diverse administrative and operational assistance, including classified and privileged, to the Assistant Vice President for USF Health International, as well as the USF Health International office.

RESPONSIBILITIES:

Monitor and audit international travel registration for all USF Health student-related travelers, including all required documentation, passport and VISA information, and the progress and completion of pre-departure orientation and training requirements for group leaders; ensure all USF Health student-related travelers are enrolled into the USF travel insurance prior to being authorized for travel. Assist in the development and process of student petitions to the Global Risk Assessment Committee (GRAC) for high-risk travel requests. Provide programmatic support for USF Health International's varied programs and projects, including travel-related student workshops and recruiting events, campus-wide international activities and events, professional training programs, virtual programming, delegation visits, and business partner/ collaborative events.  Also, assist Assistant Director in the management and processing of international collaborative agreements. Collect and maintain metric data regarding USF Health student-related travel and assist in formulating data for metrics reporting and to draft emails, memorandums, letters, reports, flyers, forms, presentations and website materials. 
Coordinate and monitor calendar and scheduling for the Assistant Vice President for International, and assist in the coordination of scheduling and itinerary planning for international visitors/delegations. Keep office task list and follow up with staff to ensure task completion.  Perform other clerical support duties as assigned in support of the objectives of the office and staff. Monitor international events and the DOS travel warnings website and communicate with students as needed to ensure traveler safety and communication of vital information. Performs other duties as assigned.



MINIMUM:

This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Additional education may not be substituted for this experience requirement.

SPECIAL SKILLS/TRAINING:

Additional knowledge needed to successfully perform the duties/tasks/responsibilities of the Administrative Specialist include proficiency in Microsoft products (Word, Excel, PowerPoint, Publisher), proficiency in USF specific systems (webmail), proficiency in research/data gathering, project and time management skills, knowledge/understanding of general medical terminology and the ability to effectively interact with USF students, faculty, staff, international business partners, vendors and collaborators.
