The primary responsibility is to manage the recruitment of international students as well as the provision of services to this population related to their on-boarding as well as social and academic experiences at the university. In addition, this role will oversee other services related to the admission process including but not limited to areas such as off-campus housing and on/off campus tours and experiences where needed. This individual will lead the development and implementation of the recruitment strategies to drive international student enrollment and retention. Serves as a Designated School Official (DSO) and along with the international services coordinator ensures university compliance with all federal regulations as well as maintenance of student and campus records through the Student Exchange and Visitor Information System (SEVIS). Also, in conjunction with the Sr. Admission Counselor - International, develops an annual recruitment plan with specific objectives and strategies to grow the international audience. The Associate Director serves in the Enrollment Management Division under the leadership of the AVP of Admission and works closely with the other members of the Office of Admission team, Deans, Associate Deans, Assistant Deans, and Academic Program Directors, Student Affairs as well as Marketing to plan, implement, and analyze programs in support of recruiting and serving international students for the University. In addition, to ensure that international new students are properly oriented and on-boarded to the university, collaborates across functions to make recommendations for changes to policies, practices, procedures and programs impacting international prospects and students.
Key Responsibilities
The primary responsibility is to develop, lead and optimize initiatives that enhance UB's recruitment of and service to international students. Working closely with other colleagues in Admissions and Student Affairs, identify international prospects, achieve targeted enrollment goals, support newly accepted international students, coordinate their onboarding and ensure they are successfully integrated into the campus community. Serve as the primary Designated School Officials (DSO) supporting international students entering and on campus. Currently, this position will be responsible for evaluating, supporting and improving international student satisfaction and success. Potential target audiences include international students abroad, already studying in the U.S. at the community college level, in ESL programs, or students completing undergraduate programs transitioning to graduate programs, and connecting to international student influencers. When needed, advise students on a wide variety of issues which impact their visa status and require updates to their I-20 documents including change of majors, shortening/extending academic programs, medical/academic leaves, adding dependents, practical training and inter-school transfer of their SEVIS records. - Cultivate relationships and advise international students as they make decisions about their education by providing information about the University, its programs, procedures, and campus life. Design and organize events that support international students while at UB and post-graduation as needed. Regularly communicate with international students delivering appropriate messages at all stages of their academic programs. Guide students through phone, email, online chats/webinars, open houses, workshops, and one-on-one appointments. Provide additional services as requested such as study abroad advising, international scholar advising, and immigration support for international students, visiting professors and research scholars, non-immigrant faculty and staff needing UB visa sponsorship. Provide direction regarding UB's off campus housing strategy/offerings as well as other services needed to support prospects decision making.
- Establish and maintain relationships with key partners within and outside of the University of Baltimore. Maintain relationships with various on-campus staff and off-campus influencers to meet or exceed enrollment targets as well as facilitate support. Participate in professional organization activities relevant to the field of international admission and services. Network with other international student admission/ services professionals to ascertain best practices in the field. Understand trends/regulations nationally and internationally that will impact international student recruitment and services.
- Oversee communication strategies and ensure accurate records for international students using electronic workflow CRM (Salesforce/TargetX), (ImageNow) and PeopleSoft and SEVIS. Review, verify, and update status on a regular basis. Along with Marketing, optimize International Admission and Services web pages and ensure that website information for international students is accurate and thorough. Respond to all emails and phone calls same business day or within 24 hours. Responsible for ensuring direct reports meet target customer service KPIs.
- Assist with the management of international prospects and students with accurate management of data within Target X/Salesforce, PESO throughout the Admissions, Campus Community, Student Records and PASS/SEVIS modules through the PASS/SEVIS module alerts process, the PeopleSoft activities of SEVIS-reportable students, exchange visitors and dependents at UB. Serve as functional lead in the
- PASS/SEVIS module. Participate in QA process as necessary to ensure accurate reporting and monitoring via database. Refine and document International Services processes and procedures as needed.
- Assist with the management of the University of Baltimore's student, exchange visitor and dependent population in the SEVIS database of the federal government, managing alerts, assuming responsibility for data fix requests, and conducting date-sensitive DHS reporting for UB's SEVIS population.
Required Education and Experience
Education: Baccalaureate degree in Sales, Marketing, Public Relations, Psychology, International Studies, Business, Communications or related field/discipline relevant to the responsibilities of the position.
Experience: Seven or more years professional experience in admission, recruiting, student support, marketing or related field/discipline, with at least five years of active international student experience, and a working knowledge of SEVIS, F-1 ,J-1 visa regulations as well as OPT training.
Preferred Education and Experience
Education: Master's degree in Marketing, Communications, Psychology, International Studies, Business or related field.
Experience: Ten and more years of progressively responsible experience in a higher education institution, with seven plus years of active international student recruitment and/or support experience. Bilingual/multilingual preferred.
Required Knowledge, Skills and Abilities - Ability to lead in a changing environment and support senior leadership efforts to promote strategic plans, and meet enrollment goals. Excellent communication skills, including demonstrated skill in oral and written expression of information, ideas, and policies, with the ability to move people to action. Ability to manage at team and work cross-functionally to achieve departmental as well as university objectives.
- Able to make independent decisions as appropriate, set and achieve goals, and initiate and follow through with new projects with minimal direction. Highly motivated self-starter with the ability to inspire and contribute to a highly agile, and productive team.
- Ability to work with diverse populations, with proactive and superior customer service. Ability to produce and analyze international student data and proactively propose solutions that increase effectiveness of recruitment strategies and services. Proficient in Microsoft Office Suite programs including Excel, PowerPoint etc. Experience with student information systems (PeopleSoft preferred), customer/constituent relationship management systems (Salesforce preferred), and document imaging (ImageNow). Deep and up to date knowledge of SEVIS is a must.
- Ability to learn and adapt to new technology while staying current with emerging technology; seeks opportunities to apply available technology to improve department results/service delivery. Develops effective working relationships and collaborations with internal and external constituents.
- Contributes ideas, recommends informed procedures, and documents processes. Takes responsibility for continuous professional development, performance improvement, and accrual of relevant knowledge. Valid State of Maryland driver's license and willingness to travel.
Special Hours of Work Required
Requires some evening and weekend hours as well as flexible scheduling during peak recruitment times.
