Assistant Director for Study Abroad, Health & Safety
The Assistant Director for Study Abroad is responsible for the coordination of the administration of all SJU semester abroad, non-SJU Summer Study as well as health and safety preparedness for all SJU sponsored student, faculty and staff travel.
Duties and Responsibilities:
Work closely with students, advisers, faculty, and staff on campus and abroad to provide safe and secure programs that are academically challenging, personally transforming and professionally relevant. • Advise students on program options, application processes, deadlines and other procedures for all semester abroad and non-SJU summer program options. • Monitor status of applications/files with student information. Submit applications to outside program for review as necessary. • Work with appropriate Department Chairs and Associate Deans to update and maintain Course Equivalency Sheets. • Assist with outreach efforts to promote study abroad. Develop materials, information sessions, power points and parent resources for study abroad. Coordinate publications and produce promotional/informational materials. • Coordinate communication and delivery of services to students while abroad; plan and coordinate reentry efforts. • Assist the Director with the implementation of a systematic process to evaluate semester abroad programs. • Develop and deliver orientations for students, staff and faculty travelling overseas. Work with Manager of Study Tours/Summer Programs to design and implement appropriate pre-departure orientation programs for students, faculty and staff. • Conduct periodic assessments of health and safety conditions for Saint Joseph’s University sponsored programs, including program-sponsored accommodations, classroom facilities, events, excursions and other activities prior to the program. • Provide information about changes in country conditions to program coordinators, faculty, staff and participants and advise as needed. • Develop and maintain study abroad emergency preparedness and crisis response plans. Provide guidelines for faculty, staff and students with respect to managing emergencies abroad. Assist study tour/summer program faculty, coordinators and students during emergencies on an as needed basis. • Responsible for maintaining study abroad database to ensure appropriate emergency contact information as well as appropriate insurance and waiver forms have been collected from all participants travelling abroad on SJU sponsored programs. • Assist with the preparation of budgets, submit projections and monitor expenses for semester abroad programs.
The person who holds this position has been classified as a Campus Security Authority under the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act). • Periodic travel overseas to conduct program site visits. • Other duties as assigned by the Director
Bachelor’s degree and 3 years’ experience in study abroad program administration including program development and promotion. An equivalent combination of education and related experience may be considered. • Experience as a study abroad advisor in a university setting, including experience responding/coordinating study abroad student emergencies. • Experience studying/living overseas. • Cross cultural awareness with demonstrated familiarity with and sensitivity to cultural diversity issues. • Knowledge of current professional practice and issues in international education. • Excellent organizational, oral and written communication skills. • Ability to work well independently and collaboratively with students, faculty, staff and various on and off campus partners. • Ability to perform required computerized tasks, which include use of Microsoft Suite, database tools and web based applications.
Master’s Degree in a related field. • Fluency in a foreign language. • Knowledge of Terra Dotta computer software application. • Ability to innovate in a small office environment where daily duties may vary.
Physical Requirements and/or Unusual Work Hours:
Periotic travel within or outside the U.S. • Walking, standing, sitting, and some lifting of office supplies • Ability to transport and carry materials (15lbs) to presentation and event sites. • Occasional evening and weekend hours based on campus and departmental events.
