Job Summary: The Center for Global Education and Engagement (CGEE) is hiring an Office Assistant 3 (Calculations) SG-14. This person will report to the Director and provide financial and registration support to the areas of Education Abroad, International Student Services (ISS), Washington, DC Internship Program, and overall department operations. Duties include but are not limited to:
Provides financial oversight to The Center for Global Education and supports the Director with the financial administration of a 2.5+ million dollar budget
Assists Director with preparation of annual budget for the CGEE, develops and maintains financial reports, working cost and revenue charts.
Creates and implements Banner Control Table for each Study Abroad/Washington DC Program term.
Bills registered students using Student Accounts Billing Schedule each term. Maintains financial records of student payments. Resolves collection issues and performs payment tracking. Bill Non SUNY schools that we have billing agreements with. Develop new billing agreements as needed with Brockport's IT Banner Services. Manages billing adjustments.
Primary contact with students, parents and other SUNY staff about billing and financial aid questions and issues, works closely with foreign and domestic partnership contacts.
Reconciles Banner student rosters in pre-departure phase to reconcile with Studio Abroad Data Base.
Primary financial liaison for Offices of: Student Accounts, Procurement and Payment, BASC, Financial Aid, Banner (IT Services), SUNY and domestic Study Abroad Offices and Registrar.
Maintains financial records including program expenditures and revenue, office expenditures, tuition revenues, and accept fee revenues, office payroll payments, travel reimbursements, office expenditures, credit card expenditures.
Prepares program budget sheets and disseminates budget information.
Processes Invoices and Deposits, oversees Purchase Requisitions/Standard Vouchers/Travel Vouchers/Credit Cards, check requests, wire transfer requests.
Assesses insurance charges to study abroad and international student bills and reconciles with health insurance billing.
Hires, trains and supervises student workers assisting the Office Assistant 3.
Works frequently with the following systems: Banner, QuickBooks, Bi Oracle system, Studio Abroad, Excel etc.
Minimum Qualifications: Reachable for appointment on the current NYS Civil Service canvass list for Office Assistant 3 (Calculations), full-time, Brockport location.
NYS employee with one year or more of permanent or contingent-permanent, competitive service in a title deemed eligible for transfer to an Office Assistant 3 (Calculations) under Section 70.1 of the NYS Civil Service Law.
PROVISIONAL QUALIFICATIONS: In the event that there is not a valid eligible list, candidates who meet the following provisional qualifications may be qualified for a provisional appointment: You must be a qualified employee of New York State and have had three months of permanent competitive or 55-b/55-c service in a clerical, keyboarding, or paraprofessional* title allocated to Grade 7 or higher.

Knowledge of MS Excel, Quickbooks, Banner
Ability to work in a diverse environment with a variety of constituents
Work Schedule: 37.5 hours/week, Monday-Friday 9am-5pm
