Undergraduate and Interdisciplinary Studies (UGIS) is the academic teaching and enrichment unit within the L&S Division of Undergraduate Studies. UGIS is a large and complex unit comprised of diverse interdisciplinary majors and undergraduate programs. Its primary mission is to develop innovative and/or interdisciplinary approaches to undergraduate education.
The Student Academic Advisors staffing the unit's three undergraduate major programs face challenges that are unique to interdisciplinary programs. The curriculum for each major program is drawn in part from courses offered in departments across the campus. The role of the SAA is to provide academic advice to the undergraduates as well as coherence, stability and consistency to the major program. Using advanced academic advising concepts and experience, the Student Academic Advisor must address the challenges inherent in interdisciplinary and interdepartmental majors, and develop solutions to these problems. The advisor provides intake advising and supports the faculty advisors for the programs. The position must have a broad and detailed knowledge of the academic units and undergraduate curriculum across the campus and a specialized understanding of the nature of interdisciplinary inquiry. The advisor works independently with only general guidance from the faculty director and the supervisor (Director of Administration). While each advisor has primary program responsibilities, they work as a team providing backup support as needed to each of the three major and three minor programs. The position currently under recruitment works primarily with the Media Studies major. Media Studies is one of the fastest growing undergraduate majors on campus. This position will work as a team with the current SAA to provide advising and program support. The SAA will need a working knowledge of all aspects of advising and programs support.
Advise students about admission to and completion of major program requirements.
Help students define realistic academic goals and gain an understanding of how to achieve these goals within a particular interdisciplinary major program.
Drawing from an understanding of course content and area of interdisciplinary inquiry, help students devise their academic focus within the UGIS programs and prepare them to present their program of study for faculty advisor review.
Keep abreast of relevant course offerings across the College and campus and maintain connections with student service staff across the campus.
Advise faculty director(s) on the formulation of department policy by identifying areas needing clarification and proposing solutions.
Analyze the consequences of program academic policies and recommend new or changed policies.
The Student Academic Advisor should be the historian and resource for all decisions concerning major requirements, exceptions, and practices relevant to the major programs.
Review program curriculum and make recommendations for changes to better accommodate student demand and areas of focus.
Certify completion of degree requirements and honors designation. Includes approval of substitution of major requirements and transfer evaluation credit.
Coordinate, review and advise program director and faculty on transferability and applicability of non-UC Berkeley courses and/or courses on campus within or outside of the department that may affect ongoing requirements.
Maintain thorough knowledge of University and College policies; advise faculty and students on registration and enrollment procedures; assist students in taking full advantage of the numerous campus programs for education abroad, internships, research, scholarships and graduate school preparation.
Create and maintain student files, database, student list serve, webpage, handbook, and catalog entry to ensure accuracy.
Coordinate faculty office hours.
Serve as liaison with COCI, prepare course approval material, and maintain articulated transfer credit agreements.
Maintain program administrative files.
Create and keep current calendar of upcoming events, deadlines, etc.
Provide backup for other advisors in UGIS.
Maintain familiarity with all programs housed in UGISincluding knowledge of major/minor requirements, admissions procedures, course offerings, etc.
Schedule courses based on a thorough understanding of the intricacies of Campus Solutions.
Monitor and analyze shifting enrollment patterns and adjust seat reservations accordingly.
Analyze waitlists for courses and determine which students are eligible to enroll in impacted courses.
Balance competing demands such as instructor requests, facility needs of the courses, student and overall program needs.
Serve as program event planner; includes detailed planning for large annual commencement ceremony, orientation meetings, program sponsored events, etc.
Advanced knowledge of undergraduate advising and counseling techniques.
Thorough knowledge of or ability to learn and understand University, College, and departmental policies, procedures and requirements.
Understanding of the nature of interdisciplinary inquiry.
Skills in judgment and decision-making, problem solving, project management.
